Job description

Job Description
The Assistant Distribution Coordinator role will assist and support the business' back office functions, performing functions around Bills of Lading ("BOLs") procurement, review, and entry into Centennial's revenue distribution system, Solarc Right Angle ("SRA"), with a focus on blending customers in the New York Harbor (NYH). Additionally, the role will be a key figure in handling customer requests for items such as BOLs and clarity as to the contract application of those BOLs, and reconciliation and reporting of contract application in SRA compared to orders scheduled. Lastly, the role will assist in overseeing the payment and approval of ancillary costs associated with railcars and the rail industry in general, including updating fuel surcharges, demurrage and detention charges, and empty mileage and/or mileage equalization.
Duties & Responsibilities (Essential functions are identified in bold and italicized text below.)
  • Must work safely at all times.
  • Maintain an accurate shipment count on orders, ensuring proper contract application and monitoring contract performance so billings are accurate to customers.
  • Provide customer service to customer and/or suppliers as needed pertaining to monthly activity (shipments, contract summaries, railcar tracing, etc.)
  • Assist with reviewing and approving and/or disputing demurrage and detention wait times by working with carriers and internal schedulers.
  • Assist with updating railroad and trucking fuel surcharge sheet and send to appropriate users.
  • Develop strong working relationships with customer's logistics personnel; provide excellent service to customers as the primary contact for all matters.
  • Enter BOLs into the system for railcars, trucks, barges, and vessels (physical transfers) and preparing loading summaries for use by customers, Marketers, and Accounting, as needed.
  • E-file paperwork on internal network, provide to customs and send to customers as necessary.
  • Perform periodic reconciliations between actual shipments as entered into SRA and what was ordered/tracked, and work internally with schedulers to resolve differences and adjust orders, as needed.
  • Assist with maintaining accurate freight rates in SRA, as needed.
  • Work with other distribution coordinators in the department to achieve department goals and objectives and cover other workload when they are on vacation or out ill.
  • Other duties may be assigned according to business necessity.

Position Qualifications
Knowledge, Skills and Abilities
  • Strong analytical and problem-solving skills necessary to identify problems or areas for improvement and work to resolve those issues.
  • Proficient knowledge of MS Office, primarily Excel.
  • Ability to work within the data base system in order to create and utilize reports.
  • Must be accurate, well-organized, able to prioritize and work under pressure.

Experience/Education
  • 2- or 4-year college degree is required.
  • Some college, computer technology, business or accounting school/classes are desirable.
  • 2+ years of logistic scheduling experience, preferably rail, with exposure to international markets is a plus.

Travel
Negligible travel required.

Annual Salary: $65,000.00 - $80,000.00
