About the Hiring Group

We are seeking a Project Coordinator for a translational program that provides investigators and small businesses with specialized services to advance therapeutics, devices, and digital health technologies toward clinical translational and commercialization.

The project coordinator will support project managers and program leadership in the coordination of research and development activities, service provider engagements, project tracking, and operational processes across a diverse portfolio of medical product development projects. This role will serve as a key liaison between project teams, investigators, service providers, consultants, finance, legal, and program leadership to help ensure projects progress efficiently and critical administrative activities are completed on schedule.

 


What You'll Do

Key Responsibilities

  • Support Project Managers in coordinating activities across multiple translational research and medical product development projects.
  • Schedule and coordinate project meetings, prepare agendas, document meeting notes, and follow up on action items.
  • Ensure documentation is maintained in accordance with organizational policies and sponsor requirements.
  • Coordinate the preparation, review, routing, execution, tracking and maintenance of program-related documentation, including:
    • Supplier Set-up
    • Non-Disclosure Agreements (NDAs)
    • Subcontractor agreements
    • Consultant agreements
    • Vendor qualification documents
    • Honorarium payments
  •  Assist with onboarding subcontractors, consultants, CROs, and other service providers.
  • Coordinate collection of required documentation, compliance records, and vendor setup materials.
  • Serve as a point of contact for administrative and operational communications.
  • Assist with tracking invoices, purchase orders, contract modifications, and contract-related financial documentation.
  • Maintain approved and qualified vendor list and schedule for periodic re-evaluation.

What You'll Need
  • Bachelor's degree, preferably in a scientific discipline.
  • 3+ years of experience in project coordination, program administration, contract administration, research operations, grants administration, or a related field.
  • Demonstrated ability to manage multiple projects, stakeholders, and deadlines simultaneously.
  • Excellent organizational and communication skills with strong attention to detail.
  • Experience maintaining databases, trackers, and document management systems.

Preferred

  • Experience supporting pharmaceutical, biotechnology, CRO/CDMO, or academic research programs.
  • Familiarity with NDAs, MTAs, subcontracts, consulting agreements, and other research-related contracts.
