Job description

Summary
The Fuel Contract Analyst assists with day to day fuel contracting and procurement activities, serving as a key support role to the Manager of Fuel Procurement. This position focuses on fuel contract administration, RFP support, pricing updates, market intelligence, tax research, and vendor coordination. The Analyst partners cross functionally to ensure fuel agreements are accurately reflected in systems, compliant with internal policies, and aligned with procurement strategy.

Minimum Requirements
Combination of Education and Experience will be considered. Must be authorized to work in the US as defined by the Immigration Act of 1986. Must pass a Criminal Background Check.
Education: Bachelor’s Degree
Education Details: In Business Administration, Accounting, Finance or related field.
Years of Experience: Minimum three (3) years of experience in finance, accounting, or related field. 

•    Proficient with Microsoft Office: Outlook, Word, Excel, PowerPoint, etc.
•    Must have a strong work ethic.
•    Must be well organized and a self starter with the ability to prioritize.
•    Detail oriented, professional attitude, reliable, and possesses a high degree of accuracy.
•    Ability to work independently and with a team in a fast paced, high volume environment with accuracy and timeliness.
•    Must have analytical and critical thinking skills.
•    Excellent written and verbal communication and interpersonal skills, with the ability to present to management.
•    Documentation, research, and problem solving/resolution skills.

Preferred Requirements
•    Master’s Degree in Business Administration and Management.
•    Experience within the petroleum or airline industry.
•    Strong problem solving skills, basic accounting principles knowledge, and data analysis skills.
•    Knowledge and experience in petroleum pricing, fuel supply and distribution, refining, or trading.
•    Ability to recommend and implement strategic courses of action relative to various fuel circumstances.

Job Duties
•    Support the administration and maintenance of fuel supply, into-plane, storage, and related fuel service contracts.
•    Track contract terms, expirations, renewals, extensions, and termination dates; proactively flag upcoming actions to the Manager of Fuel Procurement.
•    Assist with contract reviews, amendments, and documentation to ensure alignment with negotiated commercial terms and company policies.
•    Maintain accurate contract records, summaries, and reference materials for internal stakeholders.
•    Assist the Manager of Fuel Procurement with annual and ad-hoc fuel RFPs, including data gathering, bid analysis support, and documentation.
•    Support sourcing strategies by preparing comparative analyses of supplier proposals, pricing structures, and service options.
•    Coordinate communications with fuel suppliers during sourcing events, clarifications, and follow-ups.
•    Assist with implementation of awarded contracts, including coordinating internal setup requirements and vendor onboarding documentation.
•    Monitor and analyze jet fuel market data, including Platts, Argus, and OPIS pricing indexes.
•    Support preparation and distribution of weekly and monthly contracted fuel pricing updates.
•    Track market trends, competitive benchmarks, and supplier activity to identify cost-saving or risk-mitigation opportunities.
•    Assist with scenario analysis and ad-hoc market research to support procurement decisions.
•    Assist with fuel tax research related to sales, excise, and airport-specific fuel taxes.
•    Support updates to tax assumptions within fuel systems based on regulatory or jurisdictional changes.
•    Coordinate with Tax and Accounting teams to ensure fuel contracts reflect appropriate tax treatment.
•    Maintain fuel vendor, into-plane operator, and airport fuel contact information.
•    Support ongoing supplier relationship management through regular communication and issue tracking.
•    Coordinate with internal teams (Accounting, Tax, QA, Airport Services, OCC, Dispatch, IT) to support contract setup, data accuracy, and operational readiness.
•    Assist with providing required vendor documentation for QA audits, system maintenance, or compliance reviews.
•    Assist with maintaining fuel contract data within fuel management and procurement systems, ensuring pricing, terms, and effective dates are accurate.
•    Support system updates related to new contracts, amendments, or pricing changes.
•    Help document standard work, procedures, and controls related to fuel contracting and procurement activities.
•    Arrange fuel releases for ad-hoc charters, diversions, aircraft deliveries, and maintenance events.
•    Support communication and distribution of monthly fuel nominations to fuel suppliers.
•    Assist in resolving fuel supply or commercial issues impacting operations, escalating as appropriate.
•    Support the Manager of Fuel Procurement with analysis, reporting, and special projects.
•    Support month-end fuel contract close activities, including validation of effective contract terms, pricing structures, tax treatments, and service components.
•    Supervise fuel contract administrators by assigning and prioritizing work, reviewing accuracy and compliance, providing training and mentoring, serving as the primary escalation point, and identifying process or training improvements for the Manager of Fuel Procurement.
•    Other duties as assigned.

Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations. Ability to work in a confined area as well as the ability to sit at a computer terminal for an extended period of time. Some travel may be a requirement of the role.
