We are seeking a detail-oriented, organized, and dependable Freight Bill Audit & Data Entry Clerk to join our team. This is a full-time, in-office position responsible for reviewing, auditing, and processing freight invoices to ensure billing accuracy, proper documentation, and timely handling of customer and carrier billing records.

The ideal candidate will have strong data entry skills, excellent attention to detail, basic math ability, and the ability to work accurately in a fast-paced office environment. This position requires someone who is comfortable working with invoices, shipment documents, carrier websites, internal databases, and routine daily deadlines.

Key Responsibilities

  • Open, sort, and organize daily incoming mail.
  • Review and audit freight bills and carrier invoices for accuracy.
  • Verify shipment rates, fuel surcharges, accessorial charges, and contract pricing.
  • Enter invoice, shipment, and audit data into internal systems accurately and timely.
  • Match freight invoices to shipment documentation, bills of lading, and proofs of delivery.
  • Identify billing discrepancies and assist with resolving issues involving carriers, customers, and internal departments.
  • Navigate carrier websites to retrieve documents, verify shipment information, and gather backup documentation.
  • Ensure billing records comply with customer contracts, company policies, and carrier agreements.
  • Run weekly audit reports and send them to customers.
  • Communicate professionally with carriers, vendors, customers, and coworkers.
  • Answer incoming phone calls and direct calls or assist as needed.
  • Meet daily productivity, accuracy, and deadline expectations.
