Full time, Hourly

Hourly Range: $15.91 – $23.87

Job Summary: This position serves as the first point of contact for individuals seeking to utilize the MCSO to submit legal documents for service, submit payment and schedule court appearances for MCSO-issued parking citations, retrieve traffic and accident reports. This job exists to provide prompt, professional and efficient service.

Job Responsibilities

  • Customer Service/Data Entry: Handle high volume of in-person, email, and telephone customer interaction regarding civil process documents, citation inquiries and traffic report requests. Ensure accuracy and completeness of all received paperwork and docket. Enter into computerized tracking system.
  • Closing out Documents/Data Entry: All legal documents that are served, returned without service, or expired must be closed as well as paid citations entered in the computerized tracking system. Verify for accuracy and update all information listed on the 50-A forms prior to OnBase scanning.
  • Transaction Processing: Handle large volumes of cash, check, and card transactions from customers for payment of civil process services, citations and accident reports.  Balance register on a daily basis. Must be able to accurately count money. 
  • Phone Calls: Handle large volumes of calls from individuals for various reasons regarding civil process and citation inquiries. Detailed verification of information from petitioners for their requested paper service. Payment website and address provided to resolve outstanding tickets.
  • Record Keeping: File all closed legal documents in a computerized tracking system. This task must be done daily.  Online citation payments must be processed in a computerized tracking system daily and suspensions lifted. Unpaid/ expired citations receive suspension warnings or letters.
  • Mail Processing: Process large volumes of incoming/outgoing mail and faxes received. Generate correspondence with customers requesting additional information and/or return documents if necessary. Process incoming citation payments and generate outstanding/suspension warning/suspension letters.
  • Other Duties as Assigned: ability to receive and follow instructions and complete additional tasks as directed by management.

 

Minimum Requirements

  • Must be a current resident within the State of Wisconsin.
  • Must have High School diploma or equivalent.
  • At least 1 year of experience in data entry, cash handling, clerical and customer service.
  • Basic proficiency in all related computer and software applications, such as Microsoft Word and Excel, and must be able to type at least 50 keystrokes per minute.

Preferred:

  • 2+ years of experience in data entry, cash handling, clerical and customer service.
  • Experience working in law enforcement/legal setting.

Physical Demands: Standing, Walking, Sitting, Reaching, Bending/Kneeling, Hearing, Talking, Visual, Typing, Writing, Manual Dexterity, Upper Extremity Repetitive Motion, to lift, carry, push, and pull 25 lbs.

 

Knowledge, Skills, and Abilities: Fast-paced environment with minimal downtime with a potential for frequent interruptions. Must be able to multi-task and enter data at a high level of accuracy. This position requires aptitude in MS Word & Excel. Professionally communicate with individuals from diverse backgrounds & temperaments. Make adequate decisions according to policies and procedures without constant supervision. Ability to proficiently answer calls and provide accurate information without providing legal advice or personal opinion.
