Job description

Salary: $65,000+

Role Summary

The Client Service Associate (CSA) provides operational and client service support across Financial Planning, Tax, and Investment teams. This role ensures account activity, tax workflows, money movement, and client communications are handled accurately, promptly, and in compliance with firm and regulatory standards.


This is a structured financial services role requiring familiarity with securities, retirement accounts, money movement, tax documentation tracking, and regulated operational processes. The CSA supports both Financial Planning/Client Account Management workflows and our Client Account Managers with client work (i.e., attend client meetings, follow ups to meetings, etc.) while maintaining a high standard of client experience.


Key Responsibilities

Client Service & Meeting Support

  • Respond to client inquiries and provide timely, professional support.
  • Track and complete follow up items to ensure prompt resolution of client requests.
  • Collaborate with Advisors and Financial Planners to prepare accurate data and materials for client meetings.


Account Operations & Documentation

  • Process new accounts, transfers, beneficiary changes, trust documentation, and account maintenance requests.
  • Execute and monitor money movement transactions, including wires, EFTs, journals, retirement contributions and distributions, and charitable gifting.
  • Maintain accurate and compliant client records in AdvisorEngine/Junxure, internal files, and eMoney balance sheets.
  • Ensure transactions meet internal timing standards and regulatory compliance requirements.


Administrative & Operational Support

  • Support firmwide administrative functions including phones, mail processing, scanning, and internal communication routing.
  • Assist with general operational needs during peak planning and tax season periods.


Tax Workflow Coordination Backup - assist the CSA/Tax Admin with these responsibilities as a backup.

  • Distribute and track electronic tax organizers.
  • Organize, scan, categorize, and process incoming tax documents (W-2s, 1099s, K-1s, brokerage statements, etc.).
  • Track missing tax information and proactively follow up with clients.
  • Support e-file documentation workflows, confirmation tracking, and record retention.
  • Coordinate mailing and tracking of completed returns and tax related correspondence.


Required Qualifications

  • Minimum 2 years of experience in financial services, wealth management, brokerage operations, or related industry.
  • Experience working with securities, brokerage (individual, TODs, trusts, etc.) accounts, and investment account administration.
  • Working knowledge of retirement account types (IRA, Roth IRA, 401(k), etc.) and related transaction processes.
  • Familiarity with banking and money movement procedures, including wires, transfers, and account funding.
  • Demonstrated attention to detail and accuracy when handling financial and tax related information.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a deadline driven, regulated environment.


Preferred

  • Experience in a fee based Registered Investment Advisory (RIA) firm.
  • Associates or Bachelors degree in Business, Finance, Accounting, or related field (or equivalent professional experience).
  • Experience with AdvisorEngine/Junxure or comparable CRM systems.
  • Experience with Fidelity Wealthscape, Schwab Advisor Center, or similar custodial platforms.
  • Experience with eMoney or other financial planning software.
  • Familiarity with trust accounts and related documentation requirements.
  • Strong organizational skills and ability to follow structured processes.
  • High level of discretion when handling confidential financial and tax information.
  • Collaborative mindset and ability to coordinate across Financial Planning, Tax, and Investment teams.
  • Professional demeanor with a client focused service orientation.


Schedule

  • Full-time schedule, Monday through Friday.
  • Additional hours may be required during tax season and cyclical planning periods.
  • Hybrid work option available in accordance with firm policy.
