The Corporate Services and Facilities (CSF) department of the International Monetary Fund (IMF) is actively seeking a dedicated Projects Officer to join the Information, Resilience, and Services (IR) division. The Projects Officer will be responsible for overseeing logistics services related to CSF's shipping, mail, and courier services portfolio. The position will ensure efficient, reliable, and cost-effective operations that support headquarters, field offices, and institutional business requirements. The role manages operational activities associated with a significant service portfolio and contributes to service planning, vendor management, stakeholder engagement, timely resolution of program-related issues, and process improvement initiatives - that include the implementation of innovative solutions to enhance service delivery.

Major duties and responsibilities: key duties and responsibilities include, but are not limited to:

Shipping, Mail, and Courier Services

  • Managing an operational services portfolio that includes logistics of shipping and mail services
  • Supporting workload distribution across service provider teams
  • Communicate shipping and mail services guidelines and procedures to stakeholders
  • Maintaining operational integrity and service continuity
  • Monitor service delivery performance and operational effectiveness
  • Liaise with service providers and vendors to ensure contractual obligations and service standards are met
  • Identify operational risks and implement corrective actions when required

Data Analytics and Reporting

  • Prepare relevant reports on service performance to inform operational effectiveness and support decision-making
  • Monitor various key performance indicators and client feedback channels
  • Recommend process improvements to enhance efficiency, reliability, and customer service based on service data and information
  • Support the adoption of data-driven decision-making by developing operational metrics, dashboards, and performance reporting capabilities

Stakeholder Communication and Engagement

  • Communicate shipping, mail, and courier services related information to stakeholders using different channels - including updates to the intranet site
  • Serve as a point of contact to resolve service-related issues as needed
  • Serve as one of the communications points of contact for the CSFIR division

Innovation and Technology

  • Identify, evaluate, and implement innovative technologies and service delivery solutions that improve efficiency, reliability, and customer experience of mail and shipping operations
  • Collaborate with IT to implement new innovative solutions and enhancements
  • Explore opportunities to utilize Artificial Intelligence (AI), predictive analytics, and workflow automation tools to improve service tracking, service forecasting, client communications, and operational planning.

Qualifications

Educational development, typically acquired by the completion of an advanced university degree or equivalent in business administration, logistics and distribution management, or a related field; alternatively, a bachelor's degree, or equivalent, supplemented by a minimum of six (6) years of relevant professional experience, is required. In the alternative, a minimum of two (2) years of experience in a related position at Grade A08, or equivalent, is required.

In addition to the relevant qualifications, the successful candidate should possess the following skills and competences:

  • Experience with shipping, mail, and courier services delivery through a vendor contract
  • Proven track record in adopting and utilizing technology to improve efficiency and service delivery
  • Advanced proficiency in MS Excel and rapid adaptability to new technology
  • Detail-oriented with strong administrative and vendor management skills

A regular staff member who is selected to fill the vacancy will maintain their open-ended status. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended.
