Job description

We are looking for an Order Entry Specialist to join a manufacturing team in Hartland, Wisconsin in a contract-to-permanent capacity. This role is ideal for someone who is highly organized, attentive to detail, and comfortable managing order information, shipping paperwork, and inventory updates in a fast-paced setting. The position plays a key part in keeping customer orders accurate, shipments moving on schedule, and internal records up to date.
Responsibilities:
• Accurately enter customer purchase orders into QuickBooks and verify all details before processing.
• Create shipping paperwork through QuickBooks Shipping Manager, including labels, invoices, and packing documentation.
• Organize and prepare shipment-related documents for the production team so orders can be picked, finished, and sent out efficiently.
• Handle return authorizations and record returned items with accuracy and timeliness.
• Receive incoming inventory and update stock records within QuickBooks to maintain reliable data.
• Monitor order, shipping, and inventory information to ensure records remain complete and current.
• Review incoming and existing order details, identify discrepancies, and take steps to resolve issues promptly.
• Provide general administrative assistance related to order management and support other operational tasks as needed.• At least 1 year of experience in order entry, data entry, or a similar administrative support role.
• Strong keyboarding and numeric data entry skills with a high level of accuracy.
• Experience using computer-based order processing systems; familiarity with QuickBooks is preferred.
• Ability to manage multiple tasks while maintaining close attention to detail.
• Comfortable working with shipping documents, inventory records, and customer order information.
• Solid organizational and problem-solving skills to address data discrepancies effectively.
