Director of Finance and Administration

Location: Brevard, North Carolina
Employment Status: Full-Time, Exempt
Reports To: Executive Director
Supervises: Staff Accountant and other administrative or finance personnel as assigned

Position Overview

The Director of Finance and Administration is a key member of Transylvania Habitat for Humanity’s leadership team and is responsible for the financial health, administrative effectiveness, and regulatory compliance of the organization.

This position provides strategic and operational leadership for accounting, budgeting, financial reporting, cash-flow management, grants administration, payroll, internal controls, risk management, and organizational administration. The Director works closely with the Executive Director, Board Treasurer, Finance Committee, department leaders, auditors, funders, and external partners to ensure the organization’s resources are managed responsibly and support the mission of providing affordable housing and critical home repairs in Transylvania County.

The successful candidate will be a highly organized and ethical financial leader who can balance strategic oversight with hands-on responsibility in a growing, fast-paced nonprofit environment.

Essential Responsibilities

Financial Leadership and Reporting

  • Lead the organization’s accounting and financial management functions, ensuring accurate and timely recording of all financial transactions.
  • Prepare monthly, quarterly, and annual financial statements, dashboards, forecasts, and reports for leadership, the Board of Directors, and the Finance Committee.
  • Monitor organizational financial performance, cash flow, restricted funds, reserves, and budget variances, and recommend corrective action when needed.
  • Maintain accurate general and subsidiary ledgers and ensure timely reconciliation of bank accounts, receivables, payables, mortgages, grants, and program-related accounts.
  • Maintain a complete and well-documented audit trail and ensure financial records are retained in accordance with organizational policies and legal requirements.
  • Provide financial analysis and guidance to the Executive Director and management team to support sound organizational decision-making.

Budgeting and Financial Planning

  • Lead the development of the organization’s annual operating and capital budgets in collaboration with the Executive Director and department leaders.
  • Develop financial forecasts and scenario analyses to support long-term sustainability, organizational growth, and major housing developments.
  • Track departmental and project-level budgets, committed costs, actual expenditures, and remaining balances.
  • Partner with construction and program leadership to monitor the financial performance of new construction, critical home repair, disaster recovery, and other housing initiatives.
  • Identify emerging financial risks, funding gaps, cost overruns, and cash-flow concerns and communicate them promptly.
  • Support strategic planning by evaluating the financial impact of proposed programs, staffing changes, property transactions, and capital investments.

Accounting Operations and Internal Controls

  • Oversee accounts payable, accounts receivable, cash receipts, deposits, journal entries, reconciliations, and month-end and year-end closing processes.
  • Review and approve financial transactions and supporting documentation in accordance with organizational policies and delegated authority.
  • Establish, maintain, and continuously improve internal controls, accounting procedures, financial workflows, and segregation of duties.
  • Oversee payroll processing, payroll reporting, employee benefit payments, and related account reconciliations.
  • Manage mortgage-related accounting, including North Carolina Housing Finance Agency reporting, payments, reconciliations, and compliance.
  • Ensure accurate integration and reconciliation of financial information across QuickBooks, Procore, payroll systems, mortgage systems, donor databases, and other specialized software.

Audit, Tax, Grant, and Regulatory Compliance

  • Coordinate the annual financial audit, tax filings, and preparation of supporting schedules and documentation.
  • Ensure compliance with generally accepted accounting principles, nonprofit accounting standards, grant requirements, and applicable federal, state, and local regulations.
  • Oversee financial administration of grants, including restricted-fund tracking, reimbursement requests, budget monitoring, reporting, and documentation.
  • Prepare and submit required financial reports and payments to Habitat for Humanity International and other affiliated organizations.
  • Maintain current registrations, licenses, insurance records, contracts, and compliance documentation.
  • Serve as the primary liaison with auditors, financial institutions, insurance providers, payroll vendors, and other financial or administrative partners.

Administrative and Risk Management

  • Oversee administrative functions including insurance, contracts, records management, information systems, office procedures, and organizational policies.
  • Support the Executive Director in managing legal, contractual, regulatory, and risk-management matters.
  • Maintain appropriate insurance coverage and coordinate claims, renewals, certificates of insurance, and risk assessments.
  • Develop, implement, and maintain finance and administrative policies that promote accountability, efficiency, compliance, and consistency.
  • Support inventory controls and financial oversight of organizational assets, equipment, property, and ReStore inventory systems.
  • Protect confidential financial, employee, homeowner, donor, and organizational information.

Leadership and Collaboration

  • Supervise, train, support, and evaluate the Staff Accountant and other assigned personnel.
  • Establish clear expectations, effective workflows, and appropriate checks and balances within the finance and administrative functions.
  • Collaborate with department leaders to improve budgeting, purchasing, documentation, reporting, and financial accountability.
  • Provide financial education and guidance to staff, management, and Board members as appropriate.
  • Foster a collaborative, service-oriented, accountable, and mission-driven workplace culture.
  • Perform other duties and special projects as assigned by the Executive Director.

Required Qualifications

  • Bachelor’s degree in accounting, finance, business administration, or a closely related field.
  • At least five years of progressively responsible accounting or financial management experience, including responsibility for financial reporting and budgeting.
  • Strong knowledge of accounting principles, internal controls, accounts payable, accounts receivable, payroll, reconciliations, and financial statement preparation.
  • Advanced proficiency with QuickBooks and Microsoft Excel, with the ability to learn and manage additional financial and operational software.
  • Demonstrated ability to manage multiple priorities, meet deadlines, maintain accurate records, and exercise sound professional judgment.
  • Excellent written, verbal, analytical, organizational, and interpersonal communication skills.

Preferred Qualifications

  • Certified Public Accountant designation or other relevant professional certification.
  • Experience in nonprofit accounting, fund accounting, restricted grants, or affordable housing finance.
  • Experience preparing for and coordinating annual audits and nonprofit tax filings.
  • Familiarity with construction accounting, project cost tracking, real estate development, mortgage servicing, or Procore.
  • Experience supervising and developing accounting or administrative staff.
  • Experience working with a governing Board, Finance Committee, auditors, funders, and government agencies.
