Job description

JOB SUMMARY

Sutton National Group ("Company"), a rapidly growing national property and casualty insurance carrier group, seeks a contracts paralegal ("Position") to support the Legal Department.  The Position will be primarily focused on contract intake and administration using the Company's contract lifecycle management ("CLM") platform, preparation and issuance of standardized agreements, tracking outstanding contractual documentation, and coordinating with intermediaries and counterparties to obtain executed documents in a timely fashion.  Ideal candidates must be detail oriented, organized, and comfortable managing multiple deadlines across a high volume of counterparties in a fast-paced, highly collaborative environment.

DUTIES AND RESPONSIBILITIES

  • Manage contract intake and administration using the Company's IntelAgree CLM platform, including timely and accurate entry of contracts when created, revised or executed, and keep contract records up to date throughout the lifecycle.
  • Proactively follow up with agents and counterparties to obtain outstanding documents and signatures
  • Conduct initial review of revised drafts for accuracy against prior versions and agreed commercial terms, flag and escalate errors or inconsistencies.
  • Maintain and report accurate tracking metrics, and escalate aging, unresolved or high-risk items in a timely manner
  • Route and collect documents for e-signature, and monitor signature status through to full execution
  • Audit and reconcile each of the Company's reinsurance programs to confirm that all required contracts are fully executed and correctly recorded in IntelAgree, check and verify key contract attributes (data points) for accuracy after CLM intake and automated data extraction.
  • Prepare and issue standardized agreements using Company templates and standard terms
  • Assist with the organization and maintenance of the Company's contract forms library and standard document templates
  • Assist with the periodic production and filing of insurance regulatory or Secretary of State forms, certifications, and biographies
  • Maintain organized and up to date files for all work product, materials, and resources associated with the Position

SKILLS / KNOWLEDGE / ABILITIES

  • Experience with a CLM system required; experience specifically with IntelAgree preferred but not essential
  • Comfort with e-signature platforms and electronic document workflows
  • Strong organizational skills and demonstrated ability to manage multiple concurrent deadlines across a high volume of contracts and counterparties
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office products (Word, Excel, Outlook).
  • Experience of using and creating AI-assisted workflows (e.g. Claude or ChatGPT "skills") and ClickUp task management software a plus.
  • High degree of accuracy and attention to detail in data entry and verification, document tracking, and reconciliation tasks
  • Ability to work independently, prioritize competing deadlines, and escalate issues appropriately without close supervision
  • Familiarity with the property and casualty insurance sector preferred

EDUCATION AND EXPERIENCE

  • 3-5 years' experience
  • Associate's degree in paralegal studies preferred
  • Prior experience within the insurance industry (reinsurer, insurance carrier, MGA, TPA, or brokerage) preferred.

CERTIFICATIONS AND LICENSES

  • Paralegal certification (e.g., NALA Certified Paralegal, NFPA PCCE/CRP or PACE/RP) preferred
