Summary Toptech Systems is seeking a motivated Technical Writing Intern to support our documentation and customer support initiatives for a 13‐week, paid internship. The intern will complete a project that adds value to Toptech Systems and provides key experience for their career. The internship is based at the Longwood office 2 days a week with 3 days worked remotely. The role is designed for students majoring in English, Writing, or a closely related field, with a concentration in Technical Writing who are interested in learning how technical documentation, AI tools, and cross‐functional collaboration come together in a technology company. The intern will work closely with our Associate Director of Customer Support and Technical Writer, while also engaging with every technical department at Toptech Systems. Through these interactions, the intern will gain a comprehensive understanding of how technical writers support product development, customer support, and internal teams across the organization. What You'll Gain A strong understanding of how AI tools (including Copilot) can enhance a company's knowledge base Practical experience formatting technical documentation for AI readability and usability Hands‐on experience editing, validating, and creating software documentation Insight into how Technical Writers contribute within a technology‐focused organization Primary Responsibilities Review and edit technical documentation for Toptech products to prepare it for use within Copilot, creating stronger, more effective online help tools for the Customer Support team. Review existing documentation for clarity, completeness, and consistency. Update content to align with best practices for AI‐based knowledge retrieval. Learn and apply optimal formatting standards for Copilot, including structuring content for AI interpretation and ensuring images, screenshots, and visual elements can be properly read by AI tools. Collaborate closely with the Associate Director of Customer Support and the Technical Writer to improve documentation usability and effectiveness. Support the development of AI‐friendly documentation processes and standards. Secondary Responsibilities Validate and update the deployed software user manual for TMS7. Review assigned sections of the TMS7 User Manual for changes due to software updates in the past year. Compare existing documentation against the current TMS7 Sales/Beta system to identify newly added or deprecated fields, layout or workflow changes, and update documentation accordingly. Edit written content for accuracy and clarity, create or update screenshots and images as needed, and proofread for correct spelling, grammar, and syntax. Follow established documentation standards and templates to maintain consistency. Build familiarity with Toptech's software, documentation formats, and style guidelines. Write new screen documentation for TMS7 backlog, focusing on simpler maintenance screens that do not require extensive prior system knowledge. Consult with subject‐matter experts and explore and analyze screens in the TMS7 Sales/Beta system. Write new screen documentation that matches the format, tone, and style of the existing User Manual. Required Qualifications Currently pursuing a Bachelor's degree in English, Technical Writing, Professional Writing, Communications, or a related field, maintaining a 3.0 GPA or higher. Coursework or prior experience related to technical writing or documentation. Strong written communication and editing skills. High attention to detail and ability to follow documentation standards. Interest in technical writing, software documentation, and AI‐supported tools. Willingness to learn new systems and adapt to evolving documentation needs.
