Job description

The Maintenance Management Specialist (Reefer) is a pivotal figure in supporting shop and regional managers by taking on advanced responsibilities in coordinating maintenance activities, managing repair orders, overseeing invoices, and ensuring the seamless operation of maintenance services. This role demands a high level of expertise in fleet maintenance, strategic oversight, and adherence to company policies and regulatory standards, maintaining exceptional service quality and operational efficiency.

Essential Job Functions:

  • Utilize the TMT application to create and manage repair orders with a focus on complex and high-impact maintenance activities.
  • Issue and manage PO/RO's for all work/repair to be completed by outside vendors, ensuring optimal resource allocation.
  • Segment repair orders into relevant sections, ensuring accurate and timely status updates for enhanced tracking and reporting.
  • Monitor the maintenance folder in Microsoft Outlook and process incoming invoices promptly with a focus on high-value transactions.
  • Verify the accuracy and consistency of invoice details, ensuring compliance with HUB protocols.
  • Identify and escalate potential warrantable repairs in invoices to the Warranty Manager for further analysis and action.
  • Manage relationships with outside repair shops to ensure trucks receive necessary and timely maintenance.
  • Provide detailed repair instructions and directions to outside shops/internal Operations team, ensuring clarity and precision.
  • Approve and handle breakdown repairs, making critical decisions to minimize downtime.
  • Manage PM cycles, ensuring strict compliance with HUB standards and optimizing maintenance schedules.
  • Deliver exceptional customer service to terminal/driver managers and drivers, addressing complex issues and providing strategic solutions.
  • Control and optimize maintenance costs to maximize truck and driver utilization, employing advanced cost-saving strategies.
  • Negotiate repair costs with out-of-network shops, ensuring favorable terms and approving vendor repairs.
  • Efficiently process all maintenance-related transactions within the TMT system, maintaining a high standard of data integrity.
  • Lead the analysis, development, and implementation of action plans for cost reduction and efficiency improvement.
  • Provide timely and accurate communication and updates to Operations, Customer Service, and Safety teams, ensuring alignment with organizational goals.
  • Collaborate with all functional groups to meet and exceed operational excellence standards.
  • Maintain strict compliance with company policies and all applicable laws, setting an example for junior staff.
  • Contribute to business growth by supporting customer retention, expansion, and new sales initiatives through strategic maintenance management.

Minimum Qualifications:

  • A minimum of 3 years of experience in fleet maintenance or related field.
  • Proficient in using maintenance platforms.
  • Strong organizational skills with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office, particularly Outlook.
  • Demonstrated ability to manage and prioritize tasks in a fast-paced environment.

Salary: $69,500/year base salary
