Job description

Company Overview:

Founded in 1992, InServ is a full-service industrial contractor working in the life science, advanced manufacturing, and food and beverage industries. We specialize in four trades (mechanical, electrical and instrumentation, hygienic piping and HVAC), working from multiple locations across North Carolina, and for clients across the Southeast. Our work demands attention to safety, commitment to quality, and adherence to schedules.


Job Summary:

This is a part time role at approximately 25 hrs. per week. Eligible for more based on gained responsibility/department needs.

We are seeking a Part-Time Safety Administrative Assistant to provide administrative and compliance support to the Employee Health and Safety Department under the direction of the Senior Safety Administrator. This role assists with onboarding, training coordination, recordkeeping, PPE management, and safety system maintenance to help ensure employees are jobsite-ready and compliance documentation is accurate and current. The position supports both field and corporate safety operations, and works closely with the Senior Safety Administrator, Safety Team, HR, and Operations.


Key Responsibilities

Training & System Support:

· Assign and track required safety training in HSI

· Monitor training completion and follow up with employees and supervisors

· Assist with maintaining and updating the company training matrix

· Upload and maintain training records in third-party systems (ISN, Procore, HammerTech, etc.)

Onboarding & New Hire Orientation Support:

· Assist with new hire and rehire onboarding processing

· Prepare orientation packets and required documentation

· Verify completion of required safety training prior to site access

· Support orientation requests and coordination with job sites

Drug Testing & Compliance Support:

· Assist with scheduling and tracking drug testing

· Maintain drug test documentation and records

· Support background check and compliance tracking as needed

PPE & Inventory Support:

· Issue PPE to employees and track distribution

· Assist with PPE inventory counts and restocking

· Help process PPE requests from the field

Administrative & Reporting Support:

· Assist with safety time verification and reporting

· Support OSHA recordkeeping (OSHA 300 logs, EMR data tracking)

· Help prepare materials for Safety Committee meetings and Safety Week

· Provide general administrative support to the Safety Team and field as needed

Skills & Qualifications:

· Strong organizational and administrative skills

· Proficiency in Microsoft Excel, Word, and Outlook

· Ability to manage multiple tasks and meet deadlines

· Strong attention to detail and follow-through

· Clear written and verbal communication skills

Preferred

· Experience with HSI or similar safety/training platforms

· Familiarity with construction safety documentation and onboarding processes

· Experience supporting compliance, training, or HR-related functions
