Construction Project Coordinator

This is a contract-to-hire position.

COMPENSATION AND BENEFITS (upon hire into client)

Salary: $55,000-75,000 annually

POSITION OVERVIEW
The Project Coordinator supports the Project Manager in the day-to-day administration and coordination of construction projects from pre-construction through project completion. The role serves as a key link between the Project Manager, Site Superintendent, Subcontractors, Design Professionals, Permitting Agencies, Accounting, and Clients, maintaining project information, coordinating documentation, tracking schedules and permits, supporting bidding and contracting, monitoring costs and invoices, coordinating inspections, and assembling closeout documentation.

GENERAL RESPONSIBILITIES
The Project Coordinator will have exposure to all facets of a construction project, from pre-construction through the warranty period, across the following phases:
  1. Pre-Construction and Permitting
  2. Design and Construction Plan Coordination
  3. Bidding and Subcontractor Procurement
  4. Contracts and Subcontract Administration
  5. Construction Administration and Documentation
  6. Scheduling and Project Coordination
  7. Accounting, Job Cost, and Invoicing
  8. Inspections and Compliance Documentation
  9. Project Closeout and Warranty Coordination

COMMUNICATION AND COORDINATION EXPECTATIONS
  1. Maintain clear, timely, and professional communication with the project team.
  2. Escalate schedule, permitting, documentation, cost, subcontract, or coordination issues to the Project Manager when they require management direction.
  3. Maintain organized, easily accessible project records.
  4. Follow through on assigned action items and communicate status and outstanding information.
  5. Support the Project Manager and Site Superintendent by keeping administrative tasks moving without delay.
  6. Manage daily document storage within the server file system, Microsoft Teams, and construction management software, and track plan changes in Bluebeam.

SPECIFIC ROLES AND RESPONSIBILITIES
  • Pre-Construction and Permitting
    • Attend pre-construction meetings and help identify project and permit requirements. Contact permitting agencies to determine required approvals, prepare and track permit applications, coordinate plan revisions, and maintain records through final permit issuance.
  • Design and Construction Plan Coordination
    • Attend design meetings and review construction plans across disciplines for completeness and continuity. Coordinate plan updates and corrections with design professionals, and maintain the current project drawing set.
  • Bidding and Subcontractor Procurement
    • Help develop bid scopes and the bidder list, assemble and distribute bid packages, coordinate subcontractor communications and RFIs, and review bids and proposals with the Project Manager to support final selections.
  • Contracts and Subcontract Administration
    • Create, send, track, and collect executed subcontracts, confirm subcontractor compliance with accounting, and create and track subcontractor change orders as directed.
  • Construction Administration and Documentation
    • Maintain project information within the construction management system, support day-to-day field coordination, communicate schedule and progress updates, and coordinate utility service applications as needed.
  • Scheduling and Project Coordination
    • Help develop and update construction schedules, attend weekly progress meetings, monitor progress against schedule commitments, and communicate updates to the project team.
  • Accounting, Job Cost, and Invoicing
    • Review job costs weekly with the Project Manager, collect and review subcontractor invoices for client billing, and coordinate subcontract compliance and payments with accounting.
  • Inspections and Compliance Documentation
    • Track and organize required inspection reports, maintain inspection records in the project file, and coordinate with the team on deficiencies and corrections through resolution.
  • Project Closeout and Warranty Coordination
    • Collect required closeout documentation, warranties, and equipment specifications, assemble the client closeout package, and coordinate warranty work through completion.
QUALIFICATIONS AND SKILLS
  1. Three to five years of experience in commercial or industrial construction.
  2. Experience with construction project coordination, administration, or related responsibilities.
  3. Ability to review and understand civil, structural, architectural, plumbing, mechanical, and electrical construction plans.
  4. Proficient in Microsoft Suite, Outlook, and Microsoft Teams, with strong file organization and document management skills.
  5. Bachelor's degree in construction management or a related field preferred but not required.
  6. Familiarity with Sage Construction Management and Bluebeam preferred but not required.
