What is a construction equipment rental?

A Construction Equipment Rental job involves managing the leasing of heavy machinery and tools to construction companies and contractors. Responsibilities may include coordinating equipment availability, handling customer inquiries, ensuring proper maintenance, and arranging deliveries and pickups. Individuals in this role may also provide guidance on selecting the right equipment for specific projects. Strong customer service, organizational, and logistical skills are essential for success in this field.

What are the typical responsibilities for someone working in construction equipment rental?

Professionals in construction equipment rental are responsible for managing inventory, coordinating equipment deliveries and pickups, handling customer inquiries and contracts, and ensuring machines are maintained and ready for use. You'll often work closely with construction teams, logistics coordinators, and service technicians to support project timelines and prevent downtime. The role may involve both office tasks (like scheduling and quoting) and hands-on work (such as inspecting equipment). This dynamic environment offers opportunities to develop customer service, logistics, and technical skills, with clear paths to advance into supervisory or operations management positions.

What are the key skills and qualifications needed to thrive in construction equipment rental, and why are they important?

To thrive in Construction Equipment Rental, you need strong knowledge of construction machinery, customer service excellence, and inventory management, often supported by experience in equipment operations or rental services. Familiarity with rental management software, safety standards, and sometimes a commercial driver’s license (CDL) or equipment handling certification is valuable. Strong attention to detail, problem-solving skills, and effective communication help professionals excel in client interactions and coordination. These skills ensure safe and efficient rental operations, satisfied customers, and effective logistical processes.

With eight locations and decades of trusted service, we provide dependable equipment, expert guidance, and practical solutions that help our customers get the job done right.
We are seeking a detail-oriented and customer-focused Equipment Rental Coordinator to support all phases of the rental process from the initial inquiry through equipment return. In this fast-paced, service-driven role, you will ensure rental contracts are completed accurately and efficiently, coordinate scheduling and dispatch, and maintain up-to-date records of rental inventory and assets. By partnering closely with service, yard, delivery, and our sales teams, you will help ensure equipment readiness, timely deliveries, and an exceptional customer experience.
Your proactive communication, strong organizational skills, and solution-focused mindset will directly contribute to customer satisfaction, operational efficiency, and overall rental sales success.
Key Responsibilities:
  • Provide exceptional customer service to customers and partners in person, by phone, and via email.
  • Create, update, and maintain accurate rental contracts and documentation in the computer system.
  • Coordinate rental reservations, scheduling, dispatching, deliveries, pickups, and returns.
  • Track and manage rental inventory, equipment availability, asset utilization, and equipment status in real time.
  • Monitor all rented equipment, including delivery timing, usage duration, condition, and return quality.
  • Educate customers on equipment features, specifications, safety considerations, and proper operation.
  • Identify customer needs and promote positive, solution‑focused experiences that support repeat business.
  • Assist with logistics planning, routing, scheduling, and prioritizing equipment based on customer demand.
  • Maintain compliance with company policies, safety procedures, and proper documentation standards.
  • Contribute to continuous improvement by reporting process gaps, customer insights, and operational efficiencies.
  • Partner closely with service, yard, and delivery teams to ensure equipment is prepared, maintained, and delivered on time.
  • Support outside sales by coordinating customer needs, providing product information, and facilitating smooth handoffs.

Required Qualifications:
  • High School Diploma or equivalent.
  • Valid driver’s license required.
  • 1–3 years of experience in customer service, rental operations, administrative support, or a related field.
  • Strong customer service and communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Basic computer proficiency and ability to learn rental management software systems.
  • Problem-solving skills with a proactive, solution-oriented approach.
  • Team-oriented mindset with the ability to collaborate across departments.

What Sets You Apart:
  • Prior experience in equipment rental, construction, or logistics with a sales or customer service focus preferred.
  • Experience using rental management or ERP systems (e.g., Point of Rental) preferred.
  • Background in dispatching, scheduling, or logistics coordination preferred.
  • Familiarity with DOT regulations related to equipment delivery and transport.
  • Experience in sales support or inside sales, ideally within a business-to-business environment.
  • Ability to read and interpret equipment manuals, load charts, and technical documentation.
  • Mechanical aptitude to identify basic equipment issues or readiness concerns.
  • Strong negotiation or upselling skills to support rental sales growth.
  • Experience working in a fast-paced service, rental, or operations environment.
  • Knowledge of common construction and material-handling equipment, including specifications, attachments, and safe-use guidelines.

What We Offer:
  • Competitive pay.
  • On-the-job training and professional development.
  • Opportunities for advancement within a growing company.
  • Stable, full-time opportunity in a high-demand industry.

Benefits:
  • Health, dental, and vision insurance.
  • Short-term disability (STD), accident & dismemberment (A&D), and life insurance.
  • 401(k) with 50% company match up to 6%.
  • Paid vacation and sick days.
  • Six paid holidays per year.
