Position Summary

The Consignment Program Specialist is the subject matter expert and central point of contact for consignment agreement administration across the Americas commercial organization. This specialist-level role owns the end-to-end contract lifecycle - including program setup, maintenance, amendments, and renewals - and coordinates closely with Customer Service, field Sales, and Legal to ensure compliant and timely execution.

Principal Responsibilities

   Own the end-to-end lifecycle of consignment agreements, including initial program setup, contract execution, ongoing maintenance, amendments, and renewals.
   Review and interpret consignment agreement terms, including inventory obligations, placement conditions, pricing, and termination provisions, to ensure accurate system configuration and compliance.
   Enter and maintain consignment contract data, pricing, product lists, and program parameters in contract management and ERP systems (e.g., SAP, Salesforce, Vistex).
   Track agreement milestones, renewal windows, and termination notice requirements; proactively communicate required actions to stakeholders and leadership.
   Develop and maintain consignment contract templates, amendment packages, and program documentation in partnership with Legal.

Legal Coordination & Contract Compliance
   Serve as the primary operational liaison to Legal for consignment agreement drafting, review, and approval workflows, ensuring timely routing and execution of new and amended agreements.
   Manage the contract approval and signature process in coordination with Legal, Sales leadership, and other required approvers.
   Identify contractual risks or non-standard terms and escalate to Legal and leadership with supporting documentation and recommended resolution.


Field Sales Coordination & Support
   Act as the primary Contract Services point of contact for field Sales teams regarding consignment program setup, agreement status, contract terms, and amendment requests.
   Guide field representatives through the consignment onboarding process, including documentation requirements, approval workflows, and system setup timelines.
   Partner with Sales leadership and Corporate Accounts teams to support program expansions, renewals, and strategic changes.


Customer Service Coordination
   Coordinate with Customer Service to ensure consignment agreements are accurately reflected in order management and fulfillment systems prior to program activation.
   Serve as an escalation point for Customer Service on consignment-related order, pricing, or account setup issues that require contract interpretation or resolution.


Data & Documentation Integrity
   Maintain complete, audit-ready records for all consignment agreements, amendments, approvals, and supporting program documentation.
   Lead preparation of audit response packages related to consignment programs and ensure documentation meets internal compliance and records retention standards.


Process Improvement & Program Development

   Serve as the functional subject matter expert for consignment program administration; maintain and update SOPs, process documentation, and contract templates.
   Identify and recommend opportunities to improve consignment contract processes, reduce cycle times, and strengthen compliance controls.
   Provide guidance and training to team members on consignment program processes, agreement structures, and system requirements.

Education / Experience Requirements

   Bachelor's degree in Business, Healthcare Administration, Finance, or a related field preferred; Associate's degree with equivalent experience considered.

Specialized Skills / Other Requirements

   3-6 years of experience in contract administration, commercial operations, or a related field; direct experience with consignment program administration strongly preferred.
   Experience coordinating with Legal on contract drafting, review, and approval workflows.
   Proficiency in Microsoft Office; hands-on experience with SAP, Salesforce, Vistex, or comparable ERP/CRM platforms required.
   Strong analytical and problem-solving skills with the ability to interpret complex contract terms and program requirements.
   Highly organized with the ability to manage a large and complex program portfolio independently while meeting deadlines in a fast-paced environment.
   Strong written and verbal communication
