Job Summary: To support our customers by providing excellent customer service through ensuring the customers’ demand is entered into the Supply Chain on time and accurately. Order Management Representative supports the customers’ orders from point of entry to invoice and is the key link in communication with our customers.

Essential Job Functions:

  • Maintain proactive, professional communication with customers to confirm orders, respond to inquiries, and provide timely updates regarding order delays or changes.
  • Partner with Sales teams to verify pricing discrepancies, communicate order delays, and resolve other order-related matters.
  • Enter customer orders into the supply chain within 24 hours of receipt and provide order confirmations, as needed. Notify customers promptly if order entry will be delayed.
  • Serve as a subject matter expert for assigned customers by developing a thorough understanding of their unique requirements, including delivery specifications, packaging requirements, quality-control expectations, and other service needs.
  • Resolve product or service issues by clarifying the situation, researching root causes, and recommending appropriate solutions to the Order Management Supervisor or Senior Order Management Representative.
  • Review customer return inquiries and coordinate with the Order Management Supervisor and Demand Manager to obtain timely resolutions and return authorizations.
  • Communicate first-order sales entries to Demand Planning.
  • Coordinate with internal departments including Production Planning, Shipping, and Traffic to address order-specific questions and ensure accurate fulfillment.
  • Foster strong, collaborative communication between the Order Management and Demand Planning teams.
  • Provide departmental support and assist with additional responsibilities as business needs require.

Specific Functions- Aroma Order Management Rep Only

  • Ensure Monthly Consignment in completed on time and accurate and communicated to all teams.
  • Ensure orders entered can be supported based on the current Aroma stock and reviewing SAP Forecasts by Customer
    • Communicate concerns with Demand Planner and Buyers
  • Understand and act on the DEA process.

Qualifications

Education

  • Associate degree in Business, Communications, or a related field preferred.

Experience

  • Two years of customer service or order management experience required; or
  • One year of relevant experience with an associate degree in Business, Communications, or a related field.
  • Business-to-business experience preferred.

  • Proficiency with computers and standard office software.
  • Strong organizational, listening, prioritization, and multitasking abilities.

Physical Demands and Work Environment: This role requires the ability to operate standard office equipment, including computers, printers, telephones, copiers, calculators, and other automated office machines. The position involves intermittent physical activity, including bending, reaching, moving or carrying materials, and prolonged periods of sitting. Physical demands are consistent with sedentary office work.
