Position Summary: 

The Warehouse Associate is responsible for the daily operation, organization, and control of Ambient Edge warehouses at all 3 locations. This role ensures that all HVAC & Plumbing materials, equipment, and parts are accurately staged, received, inventoried, ordered, and returned in support of service and installation operations. The position includes scheduled parts running to supply houses and strict accountability for inventory accuracy and warranty returns.


Schedule: Varies from 6:00am - 4:00pm, Monday thru Friday (Weekends and Afterhours as needed) 



Warehouse Operations & Job Staging (Priority)
  • Daily Open and Close of Warehouse area. Ensure cages are secure and warehouse is locked down at end of day
  • Review daily Plumbing, HVAC service and installation schedules
  • Pull, verify, and stage HVAC equipment and materials for job packets. Installs go out by 7:00am
  • Receive truck restock orders, pull requested materials and stage for requesting technician
  • Clearly label staged jobs and communicate shortages immediately
  • Maintain clean, safe, and organized warehouse conditions
Parts Running & Vendor Coordination
  • Collect and verify same-day parts requests from dispatch and operations in Freshdesk. Tickets received during business hours must be processed and dispositioned within 2 hours
  • Transport equipment and materials between locations as needed
  • Place and confirm parts/material/equipment orders with approved HVAC suppliers
  • Conduct scheduled parts runs to supply houses
  • Verify quantities, model numbers, and condition at pickup
  • Deliver parts to warehouse staging or approved job locations
  • Communicate delays, backorders, or substitutions immediately
Receiving & Inventory Control
  • Receive and inspect all HVAC deliveries
  • Match packing slips to purchase orders
  • Post all receiving transactions same day
  • Put away inventory immediately (no floor storage)
  • Perform weekly cycle counts and research discrepancies before adjustment
  • Work with Consignment vendors to verify counts and process replenishment orders
Parts Ordering & Replenishment
  • Monitor HVAC inventory min/max levels
  • Generate parts orders and replenishment requests
  • Track order status and ETAs
  • Identify slow-moving or obsolete inventory
Warranty Returns & RMAs
  • Process warranty returns (compressors, boards, motors, cores, etc.)
  • Complete vendor RMA documentation accurately
  • Stage and label warranty items for return
  • Track warranty credits and aging RMAs
Reporting & Communication
  • Maintain accurate inventory and order records
  • Send regular warehouse recap to management
  • Escalate issues impacting operations immediately
Requirements
  • Ability to lift up to 75 lbs with assistance
  • Frequent standing, walking, bending, and material handling
  • Forklift operation (certification required or obtained)
  • Valid driver's license and acceptable driving record
