Systems Administrator
Position Purpose
The Systems Administrator is responsible for the reliable, secure, and well-monitored day-to-day operation of the firm's core systems and infrastructure platforms. A primary focus of this role is maintaining system health, monitoring utilization and capacity trends, and proactively identifying when infrastructure resources approach or exceed established thresholds.
The position performs system administration, executes approved infrastructure and security tasks, and ensures operational stability across a Windows-centric, multi-office environment. The Systems Administrator supports the IT Infrastructure Manager by absorbing routine and repeatable system-level operational responsibilities while providing timely visibility into capacity, performance, and risk indicators to enable informed infrastructure planning and decision-making.
Essential Functions
  • Infrastructure Operations Execution
    • Perform day-to-day administration of Windows servers, directory services, and core infrastructure platforms.
    • Execute approved infrastructure changes, maintenance activities, and updates in alignment with established standards, change controls, and security requirements.
    • Support hybrid on-premises and cloud environments to ensure reliable and secure operation across multiple offices.
    • Assist with system provisioning, configuration, and lifecycle management for infrastructure components.
  • Systems Administration & Maintenance
    • Administer Microsoft 365 services, including identity, access, and configuration management, under established policies and security controls.
    • Manage user, group, and service account administration beyond basic end-user support tasks, ensuring appropriate access and least-privilege alignment.
    • Execute routine patching, updates, and maintenance activities across systems and platforms to maintain operational stability and security posture.
    • Assist with backup operations, validation testing, and recovery readiness activities.
  • Platform Health, Monitoring & Capacity Visibility
    • Monitor system health, performance, utilization, and capacity across infrastructure platforms using established monitoring and alerting tools.
    • Track resource consumption trends and identify early indicators of capacity constraints or performance degradation.
    • Establish, maintain, and monitor capacity thresholds and alerting mechanisms in alignment with infrastructure standards. Proactively notify the IT Infrastructure Manager when utilization trends, growth patterns, or system behavior indicate approaching or exceeded thresholds or signal the need for planning or remediation.
    • Investigate and remediate system-level alerts, vulnerabilities, and operational issues in coordination with infrastructure leadership.
    • Support infrastructure-related incident response activities, including containment, remediation, and recovery actions, under established procedures.
    • Document capacity-related observations, risks, and recommendations to support infrastructure planning discussions.
  • Operational Documentation & Standards Adherence
    • Maintain accurate system, configuration, monitoring, and capacity documentation.
    • Ensure administrative activities align with approved infrastructure standards, security policies, and compliance requirements.
    • Contribute to documentation updates that support operational continuity, audit readiness, and long-term infrastructure planning.
  • Infrastructure & Security Support Enablement
    • Support infrastructure and security-related projects by executing assigned technical tasks under the direction of the IT Infrastructure Manager.
    • Prepare systems and environments for upgrades, expansions, deployments, security improvements, and firmwide initiatives.
    • Coordinate with IT Support leadership to align infrastructure and security work with end-user operations and minimize disruption.
    • Provide operational, security, and capacity context to infrastructure leadership to support informed planning, prioritization, and risk management.
    • As part of the IT Operations team, the Systems Administrator is expected to support associates when infrastructure-related issues require system-level troubleshooting, when broader operational impact is identified, or when urgent firm needs require coordinated IT response. While the role does not own end-user support operations, it actively engages when system health or multi-associate impact warrants direct involvement.

Collaborative Responsibilities
The Systems Administrator works closely with the IT Infrastructure Manager to execute operational infrastructure and security responsibilities and maintain system reliability. The role collaborates with the IT Support Manager and IT Support Lead to coordinate system and security changes, address recurring system-impacting issues, and ensure effective operational handoffs. The position may collaborate with the Innovative Solutions team as needed to support infrastructure, security, or capacity-related dependencies tied to firm initiatives or client-facing technology efforts. While primary responsibility for end-user support resides within the IT Support function, the Systems Administrator may be assigned service desk tickets or direct associate support tasks when operational needs require, including situations involving infrastructure-related issues, limited support capacity, physical proximity, or overall IT team workload considerations. In such cases, the role responds professionally and promptly, ensures appropriate coordination and visibility within the IT Support team, and maintains accountability for core infrastructure monitoring and system health responsibilities.
Physical Requirements
While performing the duties of this job, the associate is occasionally required to stand; walk; sit; use hands to operate, handle, maneuver and/or manipulate objects, tools or controls; reach with hands and arms; use manual dexterity to operate computer keyboard, calculator, and telephone; talk and hear; climb stairs; balance; stoop, kneel, and lift up to 50 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Minimum Requirements
  • Bachelor's degree in Information Systems, Computer Science, or a related field; or equivalent combination of education and experience.
  • Three to five years of hands-on experience in systems administration within a Windows-centric environment.
  • Working knowledge of Microsoft 365, Windows Server, Active Directory and Entra, and enterprise IT systems.
  • Experience supporting hybrid on-premises and cloud infrastructure.
  • Working knowledge of core IT security concepts including patch management, access control, vulnerability remediation, and incident response support.
  • Experience monitoring system performance and capacity and communicating operational risk or growth trends.
  • Strong troubleshooting, documentation, and operational discipline skills.
  • Ability to follow defined standards, processes, security controls, and change management practices.
  • Clear written and verbal communication skills with technical and non-technical audiences.

Work Environment
While performing the duties of this job, the associate is generally in a typical office and outdoor environment and is exposed to weather conditions. The noise level in the work environment is usually moderate. This position requires travel to: visit clients, tour project sites, other TBS office locations and visit other field locations, and thus, is exposed to the noise, dust, smells, and other environmental factors present in such an environment. Nights away from home are required.
Hours of Work
This is a full-time, non-exempt position, requiring 40+ hours per week. Nights and weekend commitments to the organization, its associates and clients are required.
