Confidential Administrative Assistant - Human Resources Center - 2026-2027
Pending BOE approval of staff member's resignation
Position Summary:
  • The Confidential Administrative Assistant will provide administrative support for various district human resources functions.
General Position Duties
  • Develop and assemble a variety of correspondence
  • Answer incoming telephone calls, determine the purpose of the call and provide information directly or refer call to proper person or office
  • Must be familiar with the district and department policies/procedures
Position Duties Specific to Human Resources
  • Assist with application processing and screening
  • Assist with scheduling first-level, on-line screening interviews
  • Onboard new employees
  • Advertise job postings
  • Update and maintain human resources webpage with relevant content and information
  • Confidential processing of new employees (implement record checks and initial file set up)
  • Confidential processing of worker compensation related injuries
  • Confidential processing of unemployment claims
  • Initiation of online employee paperwork processing (change of status forms)
  • Coordination and completion of loan forgiveness forms
  • Entry of various data into spreadsheets, etc.
  • Confidential processing/monitoring of monthly drug screening for the transportation department
  • Confidential processing of sensitive employee-related information:
    • DOT physicals
    • Employee record checks
    • Reimbursements
  • Eletronic filling of employment records
  • Process volunteer background checks
  • Verify employment
  • Other duties as assigned
Organizational Relationships
  • Reports directly to the Chief Human Resources Officer and Director of Human Resources.
Desired Qualifications
  • Minimum of two years of administrative support experience required; human resources or school district experience preferred.
  • Proficiency with Google Workspace (Docs, Sheets, Forms) and Microsoft Office Suite (Word, Excel, Outlook).
  • Demonstrated ability to maintain confidential information and exercise sound judgment.
  • Strong attention to detail and organizational skills.
Knowledge, Skills, and Abilities
  • Knowledge of office administration practices and human resources procedures.
  • Knowledge of records management, data entry practices, and document retention requirements.
  • Knowledge of applicable employment laws, district policies, and confidentiality requirements related to personnel records.
  • Ability to maintain strict confidentiality and handle sensitive information with discretion and professionalism.
  • Ability to organize, prioritize, and complete multiple assignments while meeting established deadlines.
  • Ability to analyze data, prepare reports, and ensure the accuracy of employee information.
  • Strong written, verbal, and interpersonal communication skills.
  • Proficient in HR information systems, electronic filing systems, and database management
  • Strong customer service skills and the ability to work effectively with employees, administrators, applicants, and the public.
