EVENT MANAGER
GENERAL SUMMARY

Accountable for day-to-day operation of small to medium-sized meetings or managing a specific role on a large conference. Project manager for one or more clients and/or to serve as a support role to Senior Meeting Manger/Director. Client management and reporting.
ESSENTIAL FUNCTIONS
  • Work with the sites department on review of venue contracts and required needs.
  • Communication with the registration team on reports and database requirements.
  • Timeline development and management.
  • Facilitate agenda development via call for presentations, keynote speaker procurement, and speaker communications.
  • Work with Exhibit/Sponsor Coordinator or Manager to facilitate exhibitor prospectus and communications.
  • Budget development, implementation, on-going reporting, and wrap-up reporting with support from the accounting department.
  • Work with Marketing department on collateral communications and developmentโ€“ theme, concept, design, and implementation.
  • Review client web-site โ€“ management of information and functionality, sometimes responsible for development.
  • Exhibit Hall/Demo Area management.
  • Supplier management - Audio visual, signage, and transportation.
  • Hotel management โ€“ Communications, F amp;B, function space usage, housing, billing, and final group resume.
  • Special event review, selection, and management.
  • Shipping coordination.
  • Survey and attendee feedback management and reporting.
  • On-site venue management โ€“ Lead team and support department to maintain attendee packets and gifts disbursement, agenda and schedule revisions, staff management, venue management, exhibit hall management, registration management, F amp;B management, and attendee management.
  • Maintain all historical data for any projects which they are leading.
  • Attendee feedback and survey results.
  • Recommendations for improving future conferences/events.
  • Contract Signing Authority up to (50th percentile of average dollar range).
  • Other duties as assigned.
MINIMUM AND PREFERRED QUALIFICATIONS
  • Bachelorโ€™s degree or equivalent experience.
  • 4 years of meeting management or hospitality management experience.
  • Expertise with Cvent, Stova (Aventri), or similar registration buildout platforms.โ€ฏ
  • Experience with Smartsheet.
  • Strong organizational skills and ability to multitask and prioritize.
  • Positive attitude and ability to be self-motivated.
  • Strong written and verbal communication and interpersonal skills.
  • Strong leadership skills.
  • Strategic decision-making ability.
  • Adaptability and flexibility.
  • Strong project and team management skills.
  • Experience in Microsoft Office applications including Word, Excel, and PowerPoint.

WORKPLACE LOCATION REQUIREMENTS
We operate as a Hybrid work environment, working as a combination of remote and in-office presence, as well as the possibility of being onsite at client and/or event locations.
TRAVEL REQUIREMENTS
Ability to travel at least 30%.
SCHEDULING REQUIREMENTS
Requires flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs.
