TMS Patient Care Coordinator Kind Health Group | Kind Minds TMS | San Diego, CA

Compensation: $22–$25/hour

As a division of Kind Health Group, we operate on a concierge care model that combines clinical excellence with a deeply personalized patient experience, from first contact through long-term follow-up.


Position Overview

We're looking for a TMS Patient Care Coordinator who is equal parts relationship builder and systems thinker. This role sits at the heart of the patient journey—guiding individuals from initial inquiry through consultation, treatment, and beyond. You'll be responsible for delivering a concierge-level experience while also owning the data, outcomes tracking, and structured follow-up that make our program best-in-class.

This is not a typical medical coordinator role. You'll be the face of Kind Minds TMS to every patient we serve—someone who makes people feel genuinely cared for, while operating with the precision our clinical outcomes program requires.


Key Responsibilities:

Patient Experience & Coordination

  • Serve as the primary point of contact for all TMS patients, delivering a warm, high-touch concierge experience
  • Guide patients through the full journey: inquiry → consultation → treatment → follow-up
  • Build genuine, lasting relationships that inspire confidence and trust in our program

Lead Management & Conversion

  • Respond promptly to inbound inquiries via phone, text, and web
  • Educate prospective patients on TMS and our treatment protocols with clarity and empathy
  • Coordinate physician consultations and maintain structured follow-up to nurture and convert leads

Treatment Coordination

  • Schedule and coordinate TMS treatment days, including our accelerated One-Day protocol
  • Prepare patients with clear pre-treatment expectations and logistical support
  • Ensure a seamless, supportive in-office experience from arrival through completion

Follow-Up, Engagement & Outcomes Tracking

  • Conduct post-treatment check-ins and maintain ongoing communication with patients
  • Track and monitor patient progress over time, identifying trends and changes in outcomes
  • Support long-term retention through maintenance programming and membership offerings

Data Management & Reporting

  • Accurately document patient interactions, treatment milestones, and outcomes in the EMR
  • Manage patient-reported outcome measures and maintain organized individual and program-level datasets
  • Proactively identify gaps in follow-up or data collection and close them

Operations & Collaboration

  • Partner closely with physicians, clinical staff, and leadership to ensure continuity of care
  • Support workflow improvements and contribute to ongoing refinement of the patient experience


Qualifications

  • Experience in patient coordination, healthcare operations, or a comparable role
  • Background in behavioral health, psychiatry, or TMS preferred — familiarity with the patient population is a plus
  • Strong interpersonal and communication skills—you know how to make people feel at ease
  • Highly organized with exceptional attention to detail and consistent follow-through
  • Comfortable managing both patient-facing responsibilities and structured data tracking
  • Experience with EMR systems and/or data platforms preferred
