Position: Concession Manager

Status: Seasonal/Stipend Position - $6,000 annually

Job Summary:

The Concessions Manager oversees the safe, efficient, customer-focused, and financially accountable operation of district concession stands during athletic contests, school activities, tournaments, and other assigned events. The position coordinates event preparation, staffing, inventory, purchasing, cash handling, reconciliation, sanitation, and communication with the Activities Director and Business Office.

This is a seasonal stipend position compensated at $6,000 per year. Work frequently occurs during evenings and weekends and may include tournaments, postseason contests, and special events. All concession revenue, inventory, and equipment are district resources and must be managed in accordance with district procedures.

Essential Duties and Responsibilities

Concession Operations

  • Manage concession operations for assigned school-sponsored athletic contests, activities, tournaments, and special events.
  • Coordinate with the Activities Director to determine anticipated staffing, inventory, equipment, and operational needs.
  • Prepare concession areas before events, including setup, stocking, food preparation, equipment checks, and cash-drawer or point-of-sale preparation.
  • Ensure concession stands open on time, remain appropriately staffed, and provide welcoming service to students, families, visiting teams, officials, and community members.
  • Oversee closing procedures, including cleaning, inventory storage, equipment shutdown, financial reconciliation, and facility security.
  • Recommend menu offerings and prices for district approval based on affordability, demand, product availability, and expected financial return.

Staffing and Student-Group Coordination

  • Recruit, schedule, train, and supervise concession workers and district-approved volunteers.
  • Communicate schedules, assigned responsibilities, customer-service expectations, food-safety practices, and cash-handling requirements.
  • Submit staffing and participation records to the Activities Director and Business Office within established timelines.

Inventory and Purchasing

  • Maintain storeroom inventory and order food, beverages, paper products, and other supplies through approved district purchasing procedures.
  • Receive deliveries, verify quantities and condition, and retain invoices and receipts as required by the Business Office.
  • Monitor inventory levels, product usage, spoilage, waste, and expiration dates; securely store food, supplies, and equipment.
  • Conduct periodic inventory counts and provide requested reports to the Activities Director or Business Office.
  • Arrange for or pick up approved products and supplies when necessary.
  • Make purchases only within approved budgets and obtain prior authorization for significant equipment, menu, or non-routine expenditures.

Financial Accountability

  • Follow all district cash-handling, receipting, reconciliation, deposit, purchasing, and internal-control procedures.
  • Ensure cash drawers and point-of-sale systems are properly established, secured, and reconciled for each event.
  • Complete event-level sales and cash-reconciliation documentation accurately and promptly.
  • Submit proceeds, receipts, invoices, and other required financial records to the Business Office within established timelines.
  • Maintain clear records of revenue, expenses, inventory purchases, refunds, shortages, and other transactions.
  • Immediately report discrepancies, missing inventory, equipment concerns, or suspected financial irregularities to the Activities Director and Business Office.
  • Provide requested records for financial reviews, audits, and year-end reporting.
  • Recognize that all concession revenue is district money and that the Concessions Manager has no independent authority to commit, distribute, transfer, or designate concession funds.

Communication and Professional Responsibilities

  • Maintain regular communication with the Activities Director regarding schedules, staffing, inventory, financial performance, equipment, and operational needs.
  • Work cooperatively with the Business Office, custodial staff, coaches, advisors, activity groups, volunteers, and other district personnel.
  • Demonstrate courtesy, cooperation, fairness, confidentiality, ethical conduct, and sound judgment in all work-related matters.
  • Maintain regular attendance, punctuality, and reliable event coverage.
  • Perform other duties reasonably related to the position as assigned by the Activities Director or Superintendent.

Supervisory Responsibilities

  • Provides direction, training, and supervision to concession workers and district-approved volunteers.
  • Coordinates participating student groups and adult supervisors consistent with district procedures.

Qualifications

Required Qualifications

  • High school diploma or equivalent.
  • Strong organizational, communication, customer-service, and problem-solving skills.
  • Ability to supervise and work effectively with employees, students, volunteers, families, and community members.
  • Ability to manage cash, inventory, purchasing records, and financial documentation accurately.
  • Ability to work independently while following district policies and administrative direction.
  • Ability to maintain confidentiality and demonstrate sound judgment when handling district funds and information.
  • Ability to work evenings, weekends, and occasional holidays throughout the school activity year.
  • Ability to meet all district employment requirements, including required background checks.

Preferred Qualifications

  • Experience in concessions, food service, retail, event management, inventory control, or customer service.
  • Experience supervising employees or volunteers.
  • Experience with cash-handling or point-of-sale systems.
  • Knowledge of food-safety and sanitation practices.

Certificates, Licenses, and Registrations

  • Valid Minnesota driver's license and reliable transportation when driving is required to obtain approved supplies.
  • Current First Aid, CPR, or other district-required training, or ability to obtain upon assignment.

Physical Requirements

  • Ability to stand and move throughout the concession area for extended periods.
  • Ability to frequently bend, reach, lift, carry, stock, and organize concession products and supplies.
  • Ability to lift and carry items weighing up to 40 pounds, with or without reasonable accommodation.
  • Ability to safely operate standard concession and food-service equipment.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.
