Job description

Position Summary

The Validation & Compliance Specialist supports Fedcap Canada's operations by assisting with the validation of jobseeker support and performance milestone submissions to ensure compliance with funder requirements, internal policies, and government regulations. Reporting to the Validation & Compliance Supervisor, the Specialist plays a key role in maintaining data accuracy and ensuring the quality and timeliness of transactional submissions.

This position contributes to tracking operational performance, implementing updated compliance procedures, and maintaining accurate, audit-ready records. The Specialist works closely with supervisors, managers, and internal stakeholders to resolve discrepancies and support continuous improvement across validations and compliance workflows. 

What You'll Do

Validations & Compliance Oversight

  • Review and validate jobseeker support and performance milestones in accordance with established funder and organizational policies, achieving 98%+ monthly accuracy.
  • Submit transactional data and funding documentation on time, ensuring 100% of submissions meet the deadlines required.
  • Monitor and maintain data accuracy in validation records, achieving at least 98% compliance in internal quality reviews each quarter, and flag inconsistencies or policy deviations to the Supervisor for resolution.
  • Communicate with Service Providers and program staff to address transactional inquiries, responding to 95% of inquiries within 2 business days.
  • Support the implementation of regulatory or policy updates by adjusting documentation and workflows as directed, maintaining 100% compliance with updated procedures.

Performance Analysis & Reporting

  • Assist in the preparation of operational performance reports for Program Leads and internal stakeholders, ensuring 95% of identified discrepancies are resolved monthly.
  • Perform routine checks on reporting data for consistency and completeness, with 100% of data discrepancies documented and reported to the Supervisor each month.
  • Maintain organized and accurate documentation for audit readiness and performance tracking, ensuring 100% audit compliance readiness.

Process Management & Quality Control

  • Follow established validation and compliance procedures to ensure alignment with funder guidelines.
  • Maintain strict confidentiality and integrity when working with participant data, financial records, and audit materials.
  • Identify opportunities for workflow efficiency and raise suggestions to the Supervisor once per year.

You're a Great Fit for This Role If You Have

  • A bachelor's degree in public administration, Business, Compliance, Social Services, or a related field is required.
  • 1-2 years of experience in program compliance, contract validation, audit preparation, or regulatory oversight; prior internships, co-op placements, or volunteer work in nonprofit, public sector, or compliance-focused roles considered an asset.
  • Exposure to government-funded programs, jobseeker supports, or workforce development is helpful but not required.
  • Basic proficiency in Microsoft Excel (formulas, filters, validation tools).
  • Experience utilizing Microsoft Office Suite (Word, PowerPoint, Outlook).
  • Exposure to case management, ERP, or compliance tracking systems an asset, with training provided.
  • The ability to follow structured procedures and maintain accuracy across multiple tasks.
  • Strong attention to detail with a focus on data accuracy and compliance.
  • Effective written and verbal communication skills with both internal teams and external stakeholders.
  • Good analytical and problem-solving ability; able to identify inconsistencies and report them appropriately.
  • Reliable, organized, and able to meet deadlines across concurrent validation workflows.
  • Demonstrated professionalism and discretion in handling sensitive or regulated information.
