Job description

Job Summary

We are looking for a Documentation Specialist to support our Documentation and Registration team. This role focuses on preparing, organizing, and tracking documents required for product registrations and international customers. The ideal candidate is detail-oriented, organized, and comfortable working with computers and documents.

Schedule: Monday – Friday | 8:30 AM – 5:00 PM
Pay: $19/hour
Location: On-site
Employment Type: Temporary to Permanent

Responsibilities

  • Prepare and organize documentation needed for product registration and international dossiers
  • Coordinate shipment of required documents and product samples
  • Request official documents from U.S. government agencies (FDA, USDA, Department of Agriculture, etc.)
  • Enter and update customer and product information in internal and external databases
  • Submit documents for authentication through the Secretary of State and embassies
  • Track registration status, shipments, and registration history for customers and products
  • Maintain accurate and organized records for all documents, samples, and certifications
  • Communicate with customers and internal sales teams regarding documentation status
  • Provide feedback and suggestions to improve procedures (SOPs)
  • Perform additional duties as assigned by the supervisor

Qualifications

  • Bachelor’s degree in a Science-related field (preferred)
  • 1–3 years of related experience (preferred)
  • Bilingual English/Spanish (required)
  • Strong attention to detail and organizational skills
  • Good customer service and communication skills
  • Proficient in Microsoft Word, Excel, and general computer systems
  • Ability to manage multiple documents and deadlines accurately
