Job Summary:

The Payroll, Benefits & HRIS Manager oversees payroll, employee benefits, HRIS, and learning management systems for NorthStar Energy and designated operating companies. As the organization's subject matter expert for ADP Workforce Now and related employee systems, this role ensures the accurate, compliant, and efficient delivery of employee services while leading system administration, reporting, vendor management, implementations, and continuous process improvement.

Essential Functions:

Payroll Administration

  • Administer accurate and timely multi-company, multi-state payrolls, ensuring compliance with all applicable federal, state, and local regulations.
  • Maintain employee payroll records, including new hires, status changes, compensation changes, leaves, and terminations.
  • Manage payroll taxes, unemployment, workers' compensation, year-end processing, W-2s, ACA reporting, retirement funding, HSA/FSA, and other payroll-related deductions.
  • Develop and maintain payroll policies, procedures, and internal controls to ensure accuracy, compliance, and operational efficiency.

Benefits Administration

  • Administer all company-sponsored benefit programs, including medical, dental, vision, life, disability, retirement, HSA/FSA, COBRA, wellness, and related programs.
  • Manage benefit eligibility, enrollments, life events, terminations, annual open enrollment, workers compensation, carrier files, billing, reconciliations, and vendor integrations.
  • Serve as the primary resource for employee and manager payroll and benefit inquiries, partnering with brokers, carriers, and third-party administrators to resolve issues and ensure compliance.

HRIS & Systems Administration

  • Serve as the system administrator and subject matter expert for ADP Workforce Now, including Payroll, HR, Benefits, Time & Attendance, Reporting, Security, and Workflow modules.
  • Lead ADP implementations and onboarding for acquisitions, new payroll groups, and employee populations, including configuration, data conversion, testing, training, and post-implementation support.
  • Research, implement, and optimize system enhancements, integrations, workflows, security, documentation, and automated processes.
  • Administer the Company's Learning Management System (LMS), including user administration, virtual training assignments, compliance tracking, and reporting.

Reporting & Compliance

  • Produce organizational payroll, benefits, HRIS, training, and compliance reporting for leadership, financial reporting, audits, and regulatory requirements.
  • Develop dashboards and ad hoc reporting utilizing ADP Workforce Now, Excel, Power BI, and other reporting tools.
  • Support internal and external audits and ensure compliance with payroll, wage and hour, tax, ACA, ERISA, HIPAA, COBRA, retirement, and other applicable regulations.

Employee Service & Continuous Improvement

  • Serve as the primary resource for payroll, benefits, HRIS, timekeeping, and employee systems, delivering exceptional customer service.
  • Train HR staff, managers, and employees on payroll, HRIS, benefits, timekeeping, and learning systems.
  • Manage relationships with ADP and other payroll, benefits and HRIS vendors.
  • Lead payroll, HRIS, and benefits integration activities for newly acquired operating companies.
  • Continuously improve payroll, benefits, and HRIS processes through automation, reporting enhancements, and strengthened internal controls.
  • Maintain confidentiality of sensitive employee and organizational information.
  • Perform other related duties and special projects as assigned.

Education & Experience

  • Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, Information Systems, or a related field preferred.
  • Five or more years of progressively responsible experience administering multi-state payroll, employee benefits, and HRIS systems.
  • Advanced experience with ADP Workforce Now system administration.
  • Experience leading HRIS implementations, payroll conversions, acquisitions, or system integrations preferred.
  • Experience administering Learning Management Systems preferred.
  • Advanced Microsoft Excel skills; Power BI experience preferred.

Knowledge, Skills & Abilities

  • Comprehensive knowledge of payroll administration, benefits administration, HRIS management, and employment compliance.
  • Strong understanding of federal and state payroll tax laws, wage and hour regulations, ACA, COBRA, HIPAA, ERISA, and retirement plan administration.
  • Demonstrated ability to manage enterprise HR systems, lead implementations, and improve business processes.
  • Excellent analytical, organizational, project management, and problem-solving skills.
  • Strong customer service, communication, and relationship management abilities.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail and confidentiality.
