Job description

Summary/Objectives
The Contract Management Specialist is responsible for effectively communicating with external and internal customers about billing and contracts. They will provide thorough explanation of and practice consistent adherence to various terms and conditions (T&Cs). The Contract Management Specialist will use financial software to accurately correct meter readings, bill equipment and cycle records, and calculate/issue credits; all with a high level of attention to detail and in accordance with all policies and procedures.
Essential Functions

  • Plan day / time-management of paperwork.
  • Process incoming sales orders and ensure all necessary paperwork is included.
  • Working knowledge of contract terms and conditions, company policies and procedures, and how to enforce them.
  • Set up new customer account records and correct existing accounts when necessary.
  • Set up computer billing of contracts with a high level of attention to detail.
  • Perform routine quality assurance checks of computerized contract billing and customized account billing.
  • Determine when credit memos are needed; calculate, and issue credit memos.
  • Research billing disputes and determine appropriate actions needed to correct issues.
  • Effectively communicate with customers, both internal and external, by phone and email, answering questions with confidence and accuracy.
  • Process customer data changes and make data entry of actions taken.
  • Make calls to obtain meter readings necessary for billing.
  • Calculate estimated meter readings when actual data is unavailable.
  • Process, maintain and/or complete various other duties within the accounting department.
