Job description

SUMMARY:ย  ย ย ย ย The Contract Admin works with Program Managers to ensure that purchase orders (contracts)ย  have the correct job numbers, piece pricing and tool tracking up to full p-pap to allow for invoicing.ย  Reports directly to the Vice-President of Finance.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

ยทย ย ย ย ย ย ย ย  Receive and maintain piece price contracts

ยทย ย ย ย ย ย ย ย  Assign internal part numbers in CMS and enter pricing

ยทย ย ย ย ย ย ย ย  Run Retro for pricing and sent to the accounting department

ยทย ย ย ย ย ย ย ย  Update price in piece price tracking (Excel spreadsheet)

ยทย ย ย ย ย ย ย ย  Distribute contracts to Program Managers

ยทย ย ย ย ย ย ย ย  File contracts by program

ยทย ย ย ย ย ย ย ย  Receive and maintain tooling contracts

ยทย ย ย ย ย ย ย ย  Enter dollar amount of open tooling on OFIC (open issues)

ยทย ย ย ย ย ย ย ย  Distribute purchase orders to program managers

ยทย ย ย ย ย ย ย ย  Request accounting to invoice the customer

ยทย ย ย ย ย ย ย ย  Track invoices until they are paid

ยทย ย ย ย ย ย ย ย  Assist program managers with entering pricing in quest tool tracking as necessary

ยทย ย ย ย ย ย ย ย  Coordinate weekly meetings with program managers to address open issues.

ยทย ย ย ย ย ย ย ย  Constant interaction with program managers

ยทย ย ย ย ย ย ย ย  Prepare weekly reports for the Vice President of the company

ยทย ย ย ย ย ย ย ย  Engage in continuous improvement opportunities as required.

ยทย ย ย ย ย ย ย ย  Maintain compliance of IATF 16949 / ISO 9001 / ISO 14001.

Follows all safety, housekeeping (5S) and company policies and procedures.

Coordinates and maintains all job responsibilities in a continuous and flexible manner and performs other related duties and job assignments as required.

EDUCATION and/or EXPERIENCE: ย Must have a Bachelorโ€™s Degree in Finance / Accounting.ย  Minimum of two yearsโ€™ experience.ย  ย Automotive supply experience preferred.

Proficient in use of a computer and common office software (i.e. Word, Excel, CMS, Tool Tracking and Outlook, etc.).ย  Ability to work in a self-directed environment.
