Job Overview

The Program Administrator is a temporary role that provides administrative, programmatic, and research support for the Computer Science Department within the College of Arts & Sciences at Georgetown University. This position provides dedicated support to designated department initiatives, academic programs and faculty and student projects. In addition, this position will provide general administrative support to the Department operations and students, as specified by the Department Chair and the Department Administrator. The position supports the execution of Department programs, internal and external events, conferences, administration for hiring students for the Computer Science Department. The position will also support department communications including editing websites, newsletters, and social media.

Administrative support includes organization of events, conferences, and meetings; reimbursement processing, managing travel; supporting visitors, paperwork for students, etc. Supporting office operations includes supply inventory, deliveries, and office maintenance requests.

Duties include but are not limited to:

  • Drafting and preparing correspondence for internal and external announcements, websites and newsletters.

  • Responding to requests by gathering and providing information and referring non-routine inquiries to the appropriate staff.

  • Helping to maintain tracking spreadsheets and other critical operational tracking systems in support of the Department's mission and to ensure accurate and timely coordination of activities.

  • Contributing to other team efforts by accomplishing related results as needed.

  • Other program administrative tasks as needed by the faculty in the department.

Work Interactions

The position reports to the Department of Computer Science Chair. Assignments will be given by the department chair and the lead administrator of the Department of Computer Science. The position also supports faculty research initiatives and budgeting. The position interacts frequently with faculty, undergrad and graduate students, postdoctoral associates, faculty affiliates; as well as invited guests and speaker, vendors and colleagues throughout the university (e.g., Dean's Office, Provost's Office units including Faculty Affairs, Office of the Chief Financial Officer, Human Resources, Tech & Society Initiative, etc.).

Requirements and Qualifications

  • Bachelor's degree.

  • Demonstrated skill in administrative management and operations, with a preference for experience in higher education institutions.

  • Minimum of 3+ years' progressive work experience in administration, program management, financial operations, scheduling - note: consideration will be given to equivalent combination of education and work experience.

  • Understanding and knowledge of current software and financial management tools.

  • Intermediate to advanced skills in MS Word and Excel, and Google Enterprise tools including Google Drive, Calendar, Gmail, Sheets, Docs, Forms, etc.

  • Ability to learn to use different content management systems such as Google web forms, and web content management systems, including Canva, MailChimp, WordPress; as well as social media tools on LinkedIn, X (formerly known as Twitter), and Instagram.

  • Experience with CourseLeaf, Cognos and Workday (Georgetown Management System) system experience preferred.

  • Excellent oral and written communication skills.

  • Ability to learn quickly, be resourceful, seeking out support when needed in order to complete tasks that might not have clear processes yet defined.

  • Ability to collaborate and work well on a team, and to work with multiple stakeholders with different requirements.

  • Comfort and skilled at multitasking on a variety of tasks requiring careful attention to detail to meet deadlines.

  • Ability to work independently, prioritize work, manage deadlines under time pressure, and diplomatically juggle complex situations.

  • Proven ability to maintain professionalism, discretion, and strict confidentiality with all materials and business interactions
