Job description

The Project Manager provides cross-functional project management support across multiple Arbor disciplines, coordinating the people, tasks, and timelines required to carry complex initiatives through to completion. The role keeps community transitions, new construction openings, owner reporting, new leader training, and organization-wide rollouts on track, while helping disciplines build their own project management capabilities using Arbor’s collaboration tools, along with other special assignments as business needs arise.

•     Projects delivered on time, on scope, and across all involved disciplines

•     Excellent relationships with all Arbor disciplines, leaders, corporate support partners, and community teams

•     Timely responsiveness and proactive communication

•     Thorough follow-through and task completion

•     Detail orientation and accurate record-keeping

Essential Functions and Responsibilities

•     Serve as project manager for projects, rollouts, and initiatives that span multiple disciplines — including new software systems, pilots and rollouts of new technologies (such as nurse call systems and other in-community technology), and other organizational changes and initiatives:

◦     Develop and maintain project plans, task lists, and timelines.

◦     Coordinate kickoff and recurring status calls, keeping each discipline accountable for its tasks.

◦     Track milestones, dependencies, and risks; escalate and resolve issues as they arise.

•     Assist with new community transitions:

◦     Coordinate transition calls and maintain a master task list spanning all disciplines to keep everyone on track.

•     Assist with new construction openings:

◦     Coordinate opening calls and maintain a master task list spanning all disciplines through opening

•     Spearhead owner reporting to outside owners and investors:

◦     Track what reporting is due and when and keep each discipline on track to complete its portion accurately and on time.

•     Plan and coordinate Foundations, our new leader training class held three times a year:

◦     Develop and manage the attendee list, coordinate agenda updates, and own the attendee experience.

•     Serve as the ongoing owner of designated tools and processes that fall outside any single project — acting as the primary point of contact for certain software applications and vendor relationships.

•     Serve as process owner for recurring, non-time-bound workflows, which may include reporting, training, and other related tasks.

•     Maintain Arbor-wide databases, including active licenses, titles, contracts, and similar critical records.

•     Assist disciplines in setting up their own project management processes, including effective use of the project management and collaboration tools available in Arbor Connect, our internal intranet and collaboration platform.

•     Maintain excellent communication and a collaborative, open relationship with all Arbor disciplines, leaders, corporate support partners, and community teams.

•     Other, related duties as assigned.

Qualifications

•     Minimum of 3 years of project management experience, with a demonstrated track record of leading cross-functional projects.

•     PMP (Project Management Professional) certification preferred; CAPM, CompTIA Project+, or equivalent hands-on experience considered.

•     Familiarity with Agile / Scrum methodologies a plus (e.g., CSM, PSM, or PMI-ACP), particularly for technology rollouts.

•     Demonstrated ability to manage multiple projects simultaneously while keeping each on track.

•     Strong written and verbal communication skills.

•     Team player and collaborator who builds trust and accountability across disciplines.

•     Proficiency with project management and collaboration tools.

•     Bachelor’s degree or equivalent relevant experience; senior living or health care experience a plus.
