Job description

Summary

A successful Compliance Specialist I must follow all ADC LTD NM and HR Policies and Procedures, as well as adhere to the Company’s Equal Employment Opportunity and Affirmative Action Plan Policies. The Compliance Specialist I is dedicated to ADC FAA Personnel and Federal Security Division and is responsible for a variety of compliance and recruitment duties, while demonstrating a high level of confidentiality and professionalism. The Compliance Specialist I is required to be an effective team player, who will not only get the job done but is also invested in quality improvement. The Compliance Specialist I will report to the FAA Human Resources Manager.

 

Essential Tasks (minimum requirements) to be performed with or without reasonable accommodation:

The Compliance Specialist I is responsible primarily for administrative and operational support, including maintaining compliance records, tracking required training, certifications and documentation, assisting with audits, and communicating routine compliance requirements to employees.

Compliance & Reporting

  • Maintain organized and accurate compliance records, files and documentation.
  • Track required compliance activities, certifications, training and deadlines.
  • Assist with internal compliance reviews, audits and inspections.
  • Prepare and organize documents and reports for compliance reviews.
  • Monitor completion of required forms, acknowledgements, and training.
  • Assist with updating compliance policies, procedures, and related materials.
  • Communicate routine compliance requirements and deadlines to employees and sites.
  • Help identify missing documentation or incomplete compliance requirements and follow up as needed.
  • Enter and maintain compliance information in company databases or compliance management systems.
  • HR Annual Planning Calendar- daily, monthly, quarterly and annual HR compliance duties (labor posters, etc.)
  • Assist with various projects, audits, and compliance related needs.
  • Generate reports to support HR business strategy.
  • Other duties as required by the HR Manager.

HRIS & Administrative Duties

  • Accurate and timely data processing of new hires, changes of status, etc.
  • Manage the HR Drive and the filing of employee documents in personnel files.
  • Update FAA employees in Dayforce and ADC Academy as needed.
  • Other duties as required by the FAA HR Manager.

Recruitment and Onboarding

  • Federal Recruitment- postings, communication, application management, screening candidates, etc.
  • Federal Onboarding/Orientation- offer letters, conducting background checks; and Verification of employment, etc.
  • Other duties as required by the HR Manager

Required Education & Experience

  • Bachelor’s degree from an accredited college or university in business administration or a related field, plus (1) year of professional HR experience. In lieu of degree, 4+ years of relevant experience in HR.

Required Skills & Abilities

  • Knowledgeable in ADC’s Personnel Policies & Procedures to answer basic HR-related questions.
  • Understanding of basic principles and practices of HR employment law and hiring practices.
  • Adept at problem-solving, identifying issues and resolving them in a timely manner.
  • High level of professionalism and execute confidentiality at all time.
  • Prioritize and plan work activities effectively.
  • Organized, accurate and thoroughly monitor work for quality.
  • Effectively read and interpret information, present data in a resourceful manner and skillfully gather and analyze information.
  • Dependable, able to follow instructions, respond to management direction and improve performance through feedback.
  • Possess strong interpersonal skills and be able to communicate professionally in written and verbal form.
  • Knowledge of operational skills in modern equipment including computers and Microsoft Office programs.

Professional Growth*

The employee will be provided opportunities to shadow the HR manager to gain insight into advanced HR duties such as employment law, development of policies and procedures, employee relations, training, etc.

 

Work Environment & Physical Demands

While performing the duties of this job, the employee regularly works in an office setting. This role routinely uses standard office equipment. The employee is regularly required to use hands and fingers to handle, feel or operate objects, tools or controls, and reach with hands and arms. The employee will frequently be required to have prolonged periods sitting at a desk, working on a computer and using the phone.

 

Position Type/Expected Hours of Work

This is a full-time position. Days of work are Monday through Friday, schedule to be determined between the core hours of 6:00 a.m. MST and 6:00 p.m. MST. Evening and weekend shifts may be required.

Probation

Six-month probation at start of initial employment and/or when position is new for the employee.

 

Travel

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
