Position Summary

The Program Assistant for the Departments of Computer Science, Engineering and Physics provides support to faculty, staff, and students within the three departments and coordinates day-to-day operations. This vital member of the Elon University School of Engineering & Computing interacts daily with students, faculty, and staff by providing clerical and office management support, by supervising student employees, and by providing written/oral communications to both internal and external audiences. The position also works closely with the Office of the Dean and other units across the University.
To be successful in this position, the Program Assistant must possess the following qualities:

acts with flexibility and patience while remaining calm under pressure
willingness to learn new skills and programs
demonstrates good judgment and attention to detail

ability to work both independently and collaboratively, as part of a team on multiple projects simultaneously
proficiency with Microsoft products such as Word, Excel, Outlook, and Teams, also able to learn internal University platforms

Minimum Required Education and Experience

HS Diploma and 2-5 years of experience in an office setting

Preferred Education and Experience

Associate's Degree (AA) in a related field and/or experience in education support, non-profit administrative support, other related field, or a combination of education and experience

Job Duties

  • Administrative Support
    • Collect, enter and update information in the university data systems
    • Provide collaborative supervision for student staff members
    • Support departmental hiring processes
    • Plan and manage itineraries for interviewees, special guests, and other visitors
    • Assist with the tracking and distribution of enrollment data
    • Schedule room reservations as needed
    • Participate as needed, in special department projects
    • Attend and participate in staff development opportunities
    • Communicate regularly with departmental faculty, particularly department chairs, to ensure timely handling of both regular and special departmental functions
  • Communication & Event Support
    • Assist with the planning and execution of departmental events
    • Carefully prepare, review and edit various types of communications
    • Assist with event and travel planning
  • Financial Support
    • Prepare check requests and purchase orders
    • Assist in budget oversight, including monitor and reconcile expenses
    • Manage procurement card expenses and allocations for the departments
    • Process purchase, work, print, and catering orders; maintain financial records
