Job description

Job Overview

Reporting to the Director of Student Involvement, the Program Development Coordinator provides administrative support to Student Involvement (SI) by carrying out the responsibilities for the programs and overall office supervision for SI. The position collaborates with the Graduate Assistant, SI Office Assistant and student workers. The position is 40 hours/week for 9 months, and 10 hours a week for 3 summer months and pays $21-$22/hr

Duties and Responsibilities

General Responsibilitiesย 

1.ย Welcomes guests/students to the office and provides an inviting, professional atmosphere for those visiting.ย  ย  ย ย ย ย ย ย 

2.ย Manages the SI calendars, the Beamer Student Center key access, mail distribution, Tower Bell reservations, equipment check-out and President's lunches.ย 

4.ย Partners with the Director overseeing office management, budget, finances, credit card reconciliation, and student reimbursements and accounting paperwork.

5.ย Supervises the student front desk staff, including all hiring, training, scheduling, and payroll.ย 

6.ย Orders and keeps inventory of office supplies.

7.ย Monitors and manages office photocopiers as well as the general-purpose photocopiers in the Beamer Student Center.

8.ย Partners with Accounting in the management, inventory, and distribution of Petty Cash and acts as the custodian of petty cash.

9.ย Manages and organizes the student programming storage closets, project room, event equipment, and lost and found.

10. Manages SI student access information (key cards, computer accounts, and printing).

11. Schedules 25Live room reservations for student leaders as needed.

12.ย  Collaborates with the Student Engagement Program Manager for special projects and other assignments as requested by Student Engagement.

Program Coordination

1.ย Manages publicity and advertising guidelines, reservations, Beamer Center display tables and cases, online poster approval, and policies for the Beamer Student Center and campus at large.

3. Provides administrative support for Student Leader programming and their corresponding organizations, including but not limited to Student Government's budget.

4. Host SLT Trainings for Student Involvement Student Leaders in areas including budget management, Credit Card reconciliation, and Fundraising.

5.ย Collaborates with the Director of Institutional Research in managing Student Government and Interclass Council online election procedures.ย  Manages student leader hiring and stipends and the student leader vetting process and compliance with Student Engagement and Student Development colleagues.ย 

6. Assists the Director of Student Involvement with the planning and execution of Senior Banquet and the Racial and Cultural Minority Recognition Ceremony.

Student-Led Club Oversight

1.ย Oversees and provides administrative support for 40+ Student-Led Clubs,ย  conducts monthly 1:1 meetings, coordinates monthly club leadership training, with registration, rechartering, and Club advisor engagement.

2. Advises Student Government in the execution of Student-Led Club allocations.

3.ย Manages, compiles, and distributes the Programming Guide annually.

4. Compiles and distributes the annual Student Leader list.

5. Compiles demographics, data, and event schedules to highlight student-led programming.

6. Collaborates with Ministry and Evangelism to host and coordinate the yearly club and ministry fair.ย 

7. Manages Student clubs's marketplace stores.

ย Professional Qualifications

1.ย  ย  Bachelor's degree required

2.ย  ย  Excellent oral, written, and interpersonal and group communication skills. Strong ability to work with diverse people, using tact and diplomacy, and the ability to maintain a high level of confidentiality.

3.ย  ย  Highly organized and self-motivated with strong administrative and collaborative skills

4.ย  ย  Excellence in prioritizing tasks and projects, and scheduling ongoing work appropriately.

5.ย  ย  Ability to meet regular deadlines and handle stressful situations with flexibility.

6.ย  ย  Ability to use a variety of computer applications. Proficiency in Microsoft Office applications, content management, spreadsheets, databases, reporting software, graphic editing software, storyboarding, multimedia, and other appropriate technologies

7.ย  ย  Personable disposition for interfacing with students, parents, and campus offices; detail-oriented, reliable, and robust organizational skills

8.ย  ย  Valid driver's license
