Job description

Description:

Under the leadership of the DOO, the Program Assistant (PA) provides administrative and program support for DVNF’s Food Assistance program. The PA assists with grant intake, applicant and grantee communications, documentation, database entry, grocery coordination, reporting, and grant closeout activities. The PA will also support other DVNF programs, community outreach, events, and day-to-day program department needs as assigned. The strongest candidate for this position will demonstrate attention to detail, organization, excellent communication skills, flexibility, professionalism, teamwork, and effective time management abilities. 

Requirements:

· Assist with the intake of Food Assistance grant applications.

· Organize and maintain documentation related to grant processing for the program.

· Support the Program Administrator with applicant outreach and assist grantees throughout the application process.

· Review grant applications and progress reports for completeness and flag missing information for the Program Administrator.

· Respond to routine applicant and grantee questions regarding application status, grocery selection, deliveries, and other administrative inquiries, escalating complex matters as needed.

· Assist with collecting and organizing applicant and grantee budget documentation for review.

· Assist with maintaining the Foundation's central grant files and help ensure each grant record is accurate and complete from initial request through grant closeout.

· Assist with the review, delivery coordination, and reporting processes for the program.

· Help identify and document grantee success stories and points of connection for internal and communications use.

· Work closely with the Program Administrator to support day-to-day activities relating to the Food Assistance program and other foundation programs.

· Maintain working knowledge of DVNF programs and DVNF policies/procedures.

· Support all aspects of the program department as needed and take on additional responsibilities within the scope of organizational needs.

· Perform other duties as assigned.
