Events Assistant

Flexible Part-Time Schedule - approximately 20 hours per week based on event needs with evenings and weekends required

Event Assistant provides hands-on administrative, logistical, and event-day support for HopeWest fundraising, donor engagement, and community events. Working under the direction of the Event Coordinator, this position helps ensure events are organized, prepared, and executed with exceptional attention to detail and hospitality.

The Event Assistant supports the many behind-the-scenes activities necessary to successfully deliver HopeWest events, including event materials, registration, auction preparation, vendor and venue coordination support, setup and tear-down, volunteer coordination, guest experience, and post-event follow-up.

This position is highly execution-focused and works collaboratively with the Event Coordinator, Development team, volunteers, regional teams, Marketing, Facilities, and community partners. 

Work occurs in office settings, HopeWest facilities, community venues, and indoor and outdoor event environments. The position requires regular evening and weekend availability based on HopeWest's event calendar and may require local travel throughout the HopeWest service area.

Workload and weekly hours may fluctuate depending upon event schedules, with increased hours or schedule adjustments surrounding major events.


You Bring: 

  • High school diploma or equivalent required.
  • Associate degree or coursework in hospitality, event management, business, marketing, communications, non-profit management, or related field preferred.
  • Previous experience supporting events, hospitality, customer service, fundraising, nonprofit activities, or related work preferred.
  • Experience working with volunteers, guests, vendors, or community organizations preferred.
  • Experience with event setup, registration, auctions, hospitality, or event logistics beneficial.
  • Highly organized with strong attention to detail.
  • Ability to manage multiple assignments and deadlines in a fast-paced event environment.
  • Strong customer service and hospitality skills.
  • Ability to interact professionally and warmly with donors, guests, volunteers, vendors, and community partners.
  • Willingness to perform both administrative and hands-on event responsibilities.
  • Ability to follow established event plans, timelines, and direction while responding appropriately to changing circumstances.
  • Strong communication and interpersonal skills.
  • Dependable, flexible, and comfortable working evenings and weekends based on the event calendar.
  • Ability to work collaboratively as part of a team and independently when assigned specific responsibilities.
  • Comfortable using Microsoft 365 and learning event registration, donor database, auction, and event management systems.
  • Maintains professionalism, discretion, and confidentiality when working with donor and guest information.
  • Ability and willingness to travel locally to HopeWest event locations.
  • Able to lift and/or move up to 50 pounds and push/pull up to 50 pounds.
