Are you a collaborative and skilled leader with a passion for community management? We are looking for a dedicated Portfolio Property Manager to join our team!ย 

As a Portfolio Property Manager, you will oversee multiple community associations, ensuring smooth operations and fostering strong relationships with Board of Trustees members and homeowners. You will be responsible for the upkeep of grounds, common areas, and property assets while maintaining excellent communication with homeowners, vendors, board members, and committee members.ย 


This is a hybrid position (requires - hours/days a week onsite).

Travel to the following areas:

Bergen County


Duties include but are not limited to:


  • Supervise the operation and administration of the Association in accordance with the management agreement and the Association's policies and procedures.ย 
  • Acts as or oversee the primary liaison with the Association Board of Trustees and homeowners as needed.ย 
  • Perform/Direct administrative and management duties as requested by the Board of Trustees and in accordance with the management agreement.ย 
  • Ensure community management tools are being effectively developed and utilized, such as annual calendar, action item list, resolution worksheets, timed agendas, RFP matrixes, committee charters, procurement procedures, FY operating budget, etc.ย 
  • Review monthly financial reports and ensure a management summary is submitted to the association's Board of Trustees.ย 
  • Provide and/or oversee recommendations to the Association Board of Trustees and committees regarding major capital expenditures as required to maintain the desired community appearance and operation.ย 
  • Monitor corporate and client delinquency rates and collections process for account portfolio.ย 
  • Attend Board meetings per the management agreement and community events as needed.ย 
  • Prepare Board packages according to established time frames.ย 
  • Ensure the Board of Trustees is aware of legal actions involving the Association.ย 
  • Maintain unit and contract files relating to the operations of the Association.ย 
  • Assist the Board of Trustees with the architectural review process and/or routine inspections as necessary.ย 
  • Responsible for maintenance of the database, including updating resident information.ย 
  • Responsible for routine and special project vendor management, including procurement as well as performance evaluation as contracted.ย 
  • Responsible for oversight of staff as the contract provides.ย 
  • Coordinate and/or oversee inspection of building facilities and/or common areas and arrange appropriate follow-up actions as required.ย 
  • Oversee the AP process in accordance with home office processes and procedures.ย 
  • Other duties as assigned.ย 


Requirements

  • Bachelor's Degree (Preferred but not mandatory).ย 
  • Valid NJ Driver's License.ย 
  • Strong financial knowledge, with expertise in reading, understanding, and creating spreadsheets, flow charts, and graphs.ย 
  • Experience in contract negotiation and facility management.ย 
  • Exceptional communication skills, both written and verbalย 
  • Proficiency in Microsoft Office products.ย 
  • Knowledge of communities/property/real estate and homeowners associations (preferred).ย 
  • Commitment to continuing education.ย 
  • Self-motivated, proactive, detail-oriented, and a team player.ย 
  • Time management and time-critical prioritization skills.ย
