Job description

Position Summary:

The Community Association Manager (CAM) is responsible for the overall management and administration of assigned homeowners associations (HOAs), condominium associations, and community associations. The CAM serves as the primary liaison between the Board of Directors, homeowners, vendors, and management company while ensuring the association operates efficiently, maintains compliance with governing documents, and protects the community's assets and property values.

Essential Duties and Responsibilities

Board Relations & Governance

  • Serve as the primary point of contact for assigned Boards of Directors.

  • Advise Board members on association governance, policies, and best practices.

  • Prepare and distribute meeting agendas, management reports, and supporting documentation.

  • Attend and facilitate Board meetings, annual meetings, and special meetings.

  • Prepare meeting minutes and ensure follow-up on Board directives.

  • Assist with policy development and implementation.

Financial Management

  • Work with association accountants and Boards to develop annual operating budgets.

  • Review financial statements, accounts payable reports, reserve studies, and delinquency reports.

  • Monitor association expenditures and budget performance.

  • Assist with reserve planning and capital improvement projects.

  • Recommend financial strategies to maintain the association's fiscal health.

Property & Vendor Management

  • Conduct regular community inspections and document maintenance concerns.

  • Coordinate repairs, maintenance, and capital improvement projects.

  • Solicit and review vendor bids and proposals.

  • Manage vendor contracts and monitor performance.

  • Ensure common areas are maintained according to community standards.

Homeowner Relations

  • Respond to homeowner inquiries, concerns, and requests in a professional and timely manner.

  • Facilitate conflict resolution between residents and the association.

  • Communicate community updates, projects, and policy changes.

  • Promote positive resident engagement and community involvement.

Compliance & Risk Management

  • Enforce association governing documents, rules, and regulations.

  • Coordinate violation inspections and compliance notices.

  • Maintain association records and ensure legal compliance.

  • Work with legal counsel on collections, covenant enforcement, and other legal matters.

  • Assist with insurance claims and risk management initiatives.

Administrative Responsibilities

  • Maintain accurate association records and files.

  • Prepare management reports and action item tracking.

  • Ensure proper record retention and document management.

  • Coordinate election processes and annual meeting requirements.

  • Utilize association management software for communication, tracking, and reporting.

Qualifications

Education & Experience

  • Bachelor's degree preferred, or equivalent experience.

  • 4+ years of property management, community management, or association management experience preferred.

  • Professional designation such as CMCA®, AMS®, PCAM®, or state CAM license preferred.

Knowledge, Skills & Abilities

  • Strong knowledge of HOA and condominium operations.

  • Understanding of governing documents, budgets, and financial reports.

  • Excellent communication and customer service skills.

  • Strong organizational and time-management abilities.

  • Ability to manage multiple communities and priorities simultaneously.

  • Proficiency in Microsoft Office and association management software.

  • Strong problem-solving and conflict-resolution skills.

Physical Requirements

  • Ability to travel regularly between assigned communities.

  • Ability to conduct property inspections, including walking communities and climbing stairs when necessary.

  • Ability to attend evening Board meetings as required.
