Job description

Manage high profile and complex special projects from submittal to delivery, serving as main point of contact between the customer and the plant providing the highest level of customer service. Assist the National Customer Service manager with projects and tasks related to forecasting and departmental date management.


Essential Functions

  • Oversee projects from start to finish.
  • Establish and maintain positive relationships with customers and ensure timely follow through on all tasks and processes.
  • Responsible for producing a detailed project schedule and setting a realistic expectation with the customer on the frontend.
  • Manage project budget, analyzing changes in scope of work as compared to how the project was quoted, and ensuring project comes in within budget.
  • Assemble and provide complex submittal packages.
  • Identify and diagnose site issues and offer solutions.
  • Coordinate detailing and engineering activities with design services as needed.
  • Facilitate the detailing and informational submittals to the customer as required.
  • Review, clarify, process, and manage cutlist orders.
  • Confirm credit approval and/or payment arrangements have been approved.
  • Obtain color selection and cutlist or order parameters from customer in time to meet the production schedule.
  • Submit coil order requests to Purchasing.
  • Coordinate special buyout items with Purchasing.
  • Communicate with customers on a regular basis so projects flow through the system and into production.
  • Update the schedule regularly and communicate project changes to all departments.
  • Confirm Bill of Material released to production matches the Sales Order Acknowledgment signed and approved by the customer.
  • Attend project pre-planning, kick-off and progress meetings with client and other project stakeholders as required.
  • Comply with all company and department policies and procedures.
  • Coordinate with National Customer Service manager on regular reviews of aging finished goods, and coordinate with all project managers and internal departments to ensure orders are fulfilled in a timely manner.
  • Under the supervision of the National Customer Service manager conduct regular reviews of the backlog report, and coordinate with project managers to ensure the system dates for each order are accurate for forecasting purposes.
  • Conduct daily reviews of the production schedules to ensure dates and production slots are in alignment for forecasting purposes.
  • ย Perform additional reviews, analysis, and system tasks as needed or directed to help ensure forecast and intake goals are met monthly.
  • Comply with all safety policies and procedures.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities

  • Demonstrates a high level of verbal and written communication skills is a must.
  • The ability to work in a fast-paced environment and manage multiple priorities
  • Must have the ability to communicate technical material to a non-technical audience
  • Proficient in Project Management software and financial accounting systems
  • Advanced working knowledge of project scheduling and documentation techniques and processes
  • Strong Personal Computer working capabilities in MS Office (Excel, Word, PowerPoint, Adobe Writer, Visio, and basic Windows environment)

Education and Experience

  • High school diploma or equivalent.
  • Five or more years of experience in construction / jobsite management.
  • Proficient in managing complex projects.
  • Ability to read and understand metal building/structural/architectural drawings.Ability to read Plan Specs and confirm that we meet requirements.
  • ย Required to understand construction engineering and can use AWIP calculators/spreadsheets.
  • Understanding of basic construction terminology.
  • Strong customer service skills, including conflict resolution and consistent follow through.
  • ย Excellent verbal and written communication skills.
  • Ability to effectively establish and maintain positive relationships with customers.
  • Solid organizational skills including attention to detail and multi-tasking skills.
  • Intermediate skill level in Microsoft Office (Excel, Word, Outlook primarily).

Physical Requirements

  • Ability to work the core hours of8am-5pm Monday thru Friday with ability to work overtime and weekends as needed.
  • Ability to sit for extended periods. Must be able to twist, reach, grasp, and other physical movements.
  • Ability to regularly work in conditions typical of an office environment, and occasionally work in conditions typical of a manufacturing environment, including noise, extreme temperatures and humidity, odors, dust, etc.
  • Ability to wear prescribed personal protective equipment and appropriate clothing.
  • Ability to read, write, and verbally communicate fluently in English.
  • Ability to effectively use a telephone, computer, monitor, keyboard, mouse, and common office equipment and machinery.
  • Ability to interact effectively with clients, contractors, employees, and other individuals, and must possess professional phone etiquette.
  • Ability to function effectively with moderate to high levels of stress in a demanding and dynamic environment.
  • Must be able to concentrate for extended periods of time and consistently produce accurate work product, organized thoughts, and execute sound judgment.
  • Must be reliable and dependable.
  • Ability to lift 25 lbs.
