Responsibilities

The Assistant Clinic Manager (ACM) supports day-to-day operations in the ABA clinic to ensure a safe, organized, and efficient environment for staff, clients, and families. This role works closely with the Clinic Manager, Clinical Director, RBTs, BCBAs, and administrative teams to maintain high operational standards, ensure schedule accuracy, support staff and families, and uphold all Golden Steps ABA policies.

This is a hands-on leadership support position requiring strong communication, organization, and problem-solving skills.


Qualifications

Key Responsibilities1. Clinic Operations Support
  • Assist in daily clinic opening and closing procedures
  • Maintain clinic organization, cleanliness, and safety standards
  • Support and reinforce clinic schedules, attendance tracking, and room assignments
  • Ensure therapy rooms and materials are prepared daily
  • Monitor supply levels and restock as needed
  • Assist with facility maintenance requests and vendor coordination
  • Ensure completion of daily logs, safety checks, and required compliance documentation
2. Staff Support & Coordination
  • Support the Clinic Manager with RBT scheduling, shift coverage, and daily staff flow
  • Help coordinate staff rotations, lunches, and breaks
  • Assist with welcoming, onboarding, and orienting new RBTs
  • Provide ongoing support to staff to maintain a positive clinic culture
  • Assist with implementing staff appreciation and team-building activities
3. Client & Family Support
  • Greet families and provide warm, professional communication
  • Assist with the onboarding and orientation of new clients entering clinic-based services
  • Support parent questions and clinic navigation
  • Facilitate smooth transitions between therapy sessions and rooms
  • Assist with obtaining required forms, consents, and documentation
4. Scheduling & Attendance Monitoring
  • Assist Clinic Manager with daily schedule and attendance review
  • Track cancellations and same-day changes
  • Communicate schedule adjustments to staff and clinical teams
  • Assist with coordinating make-up sessions when appropriate
  • Monitor session utilization and notify leadership of attendance concerns
5. Compliance & Documentation
  • Maintain clinic binders, posted compliance materials, and required documentation
  • Assist with collecting staff certifications, CPR/First Aid status, and training records
  • Support timely completion of incident reports and proper documentation procedures
  • Reinforce compliance with Golden Steps ABA policies, HIPAA, and safety protocols
6. Safety & Emergency Readiness
  • Assist with safety drills (fire, lockdown, elopement, medical)
  • Ensure crisis materials and emergency supplies are adequately stocked
  • Support Clinical Director and Clinic Manager during safety or behavioral incidents
  • Maintain documentation required for licensing or internal audits
7. Collaboration With Clinical Team
  • Support coordination between BCBAs, Clinical Directors, and RBTs
  • Help organize BCBA overlap schedules within the clinic
  • Assist with parent meeting coordination and communication
  • Reinforce behavioral expectations and clinic-wide initiatives
8. Leadership & Professional Conduct
  • Model professionalism and communicate respectfully at all times
  • Maintain confidentiality and HIPAA compliance
  • Assist in problem-solving daily challenges
