Position: Office Engineer

Reports to: Project Manager/Resident Engineer


General Qualities:

- Proactive self-starter capable of setting a positive example for the staff.

- Proven track record of successfully managing complex projects from conception to completion, preferably within a consulting environment.

- Strong understanding of project management principles, practices, and techniques, including scheduling, budgeting, and resource allocation.

- Excellent communication and interpersonal skills, with the ability to effectively collaborate with multidisciplinary teams and diverse stakeholders.


Technical Responsibilities:

- Provide technical engineering information to project managers and other stakeholders

- Assist in the development of project schedules, budgets, and resource allocation plans

- Coordinate with subcontractors and vendors to ensure timely and quality delivery of goods and services

- Review and approve engineering drawings, specifications, and other project documents

- Conduct site visits to monitor project progress and identify potential issues

- Manage and maintain project files, records, and documentation

- Prepare and submit reports, including progress reports, project status reports, and financial reports

- Coordinate and track project correspondence, including emails, letters, and faxes

- Assist in the preparation of project closeout documents and final reports

- Coordinate with project managers, engineers, and other stakeholders to ensure effective communication and collaboration

- Facilitate meetings, including project meetings, progress meetings, and status updates

- Coordinate, take minutes and write minutes, within three days, of technical, progress and other NYCDOT scheduled minutes

- Develop and maintain relationships with clients, vendors, and other stakeholders

- Communicate project information and updates to team members, management, and clients

- Manage and maintain project budgets, including tracking expenses and ensuring compliance with budget constraints

- Assist in the preparation of project invoices and payment requests

- Coordinate with accounting and finance teams to ensure accurate and timely payment processing

- Maintain accurate and up-to-date records of project activities, including hours worked, materials used, and equipment rented


Other Responsibilities:

- Perform routine calculations and estimates for construction drawings and specifications

- Verify quantities and review contractor payment applications

- Ensure compliance with company policies, procedures, and regulations

- Participate in quality control and quality assurance activities

- Assist in the development and implementation of project procedures and standards

Requirements:

Skills and Qualifications:

- Bachelor’s degree in Civil/Structural Engineering,

- 2-5 years of experience in office engineering, NYCDOT preferred,

- 5 years of construction inspection experience in bridges or roadway work, NYCDOT preferred

- Strong technical and analytical skills, with proficiency in Microsoft Office, and construction management software

- Excellent communication, organizational, and problem-solving skills

- Ability to work in a fast-paced environment and prioritize multiple tasks and projects

- Strong attention to detail and ability to maintain accurate records and documentation.


Professional Development:

- Actively participates in professional development and training and licensing.

Physical Requirements:

- Ability to sit at a desk for extended periods (often 6–8 hours a day).

- Maintaining posture while working at a computer.

- Short periods of standing or walking within the office (to printers, meeting rooms, etc.).
