Job description

Description

Job Summary 

The Payroll Coordinator is responsible for supporting Lagoon's payroll and accounting operations by accurately processing hourly payroll, maintaining payroll and accounting records, and providing administrative support to the Accounting Department. This position monitors employee timekeeping, prepares payroll information, enters data into payroll and accounting systems, coordinates payroll-related activities with departments throughout the park, and assists with a variety of accounting functions. The Payroll Coordinator handles confidential employee and financial information with professionalism while performing all duties in accordance with Lagoon's policies, procedures, and applicable laws and regulations. 


Essential Functions of the Job 

  • Monitor employee timecards daily and communicate with department managers regarding corrections, approvals, and payroll deadlines.  
  • Assist with processing Lagoon's semi-monthly hourly payroll by reviewing payroll information, verifying data accuracy, and preparing payroll files for processing.  
  • Resolve payroll-related questions and timekeeping issues by working with employees, supervisors, Employee Services, and department managers.  
  • Enter daily maintenance and construction labor hours into work orders for proper labor allocation.  
  • Coordinate with Maintenance and Construction departments to close completed work orders and distribute completed documentation.  
  • Prepare manual payroll checks and replacement checks when necessary.  
  • Process employee garnishments by coordinating with the payroll processor, maintaining records, and monitoring required withholdings and payments.  
  • Assist the Accounting Department with daily receipts, management reports, and other accounting functions to ensure timely and accurate financial reporting.  
  • Coordinate the pickup and delivery of accounting information and documents between departments.  
  • Prepare and complete bank deposits, including cash and check deposits, as assigned.  
  • Enter month-end inventory information into the accounting system for inventory valuation.  
  • Pick up, sort, distribute, and prepare incoming and outgoing mail.  
  • Provide backup support for Accounts Payable functions as needed.  
  • Provide backup support for the Administrative Office Receptionist as needed.  
  • Organize, file, and maintain confidential payroll, accounting, and personnel records.  
  • Assist with filing and maintaining 401(k) and Profit Sharing records.  
  • Maintain strict confidentiality when handling employee, payroll, financial, and Company information.  
  • Assist with cross-training and support other Accounting Department team members as needed.  
  • Perform all other duties as assigned. 


Requirements

Required Qualifications/Abilities 

  • Must be at least 18 years of age.  
  • Previous payroll, accounting, bookkeeping, or office administration experience is preferred.  
  • Strong mathematical, analytical, and problem-solving skills.  
  • Excellent attention to detail and a high degree of accuracy.  
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.  
  • Strong organizational and time management skills with the ability to prioritize multiple assignments and meet deadlines.  
  • Strong written and verbal communication skills.  
  • Proficient in Microsoft Office, including Excel, Word, and Outlook. Experience with payroll and accounting software is preferred.  
  • Ability to work independently while contributing effectively as part of a team.  
  • Ability to establish and maintain positive working relationships with employees, supervisors, vendors, and guests.  
  • Must be able to work a flexible schedule, including early mornings, evenings, weekends, and holidays as business needs require. 

Working Conditions 

  • This position is primarily performed in an indoor office environment with regular computer use and extended periods of sitting. 
  • This position requires regular walking to various locations throughout Lagoon to attend meetings, support departments, and assist with operational needs. While traveling between locations and supporting park operations, employees may be exposed to environmental elements including, but not limited to, extreme heat or cold, wind, dust, rain, snow, direct sunlight, high noise levels, bright/flashing light or darkened areas, fog or haze, large crowds, and other factors typical to an amusement park setting. 

Physical Requirements 

The physical demands described below must be met to successfully perform the essential job responsibilities: 

  • Must be able to sit for extended periods while working at a computer. 
  • Must be able to use hands and fingers for typing, writing, operating office equipment, and handling documents. 
  • Must be able to communicate clearly in person and by phone. 
  • Must have sufficient hearing and visual acuity to review documents, operate computer systems, and observe workplace activity. 
  • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. 
  • Must be able to stand and walk regularly when traveling between departments and attending meetings. 
  • Must be able to walk safely and efficiently to various locations throughout Lagoon, up to one (1) mile as needed. 
  • Must be able to occasionally lift and/or move up to twenty-five (25) pounds.
