Job Summary:

The Tour Specialist is responsible for executing and maintaining operational accuracy and vendor management for all land tour components within an assigned territory. The Tour Specialist handles all aspects of key line items within the operational systems from creation to completion. This position has ownership of the continuous maintenance and accuracy of our tour build and vendor confirmations for assigned territory. The Tour Specialist meets regularly with the Product and Operations teams on tour items and makes relevant updates within the operations system. Key functions of the role align to company goals and contribute to KPI’s.


Primary Functions:

  • Builds the day-to-day line items into the operations systems - assigns services, creates suppliers, attaches contracts, creates the layout items and date assignments for all components.
  • Confirms tour components with vendors and records confirmations within the operations systems.
  • Maintains ongoing vendor communication and service status; monitors and attends to inquiries and issues in the joint Product e-mail (i.e., confirmations, questions, issues, requests for information, invoices, complaints).
  • Builds and audits tour components with a high level of accuracy; responsible for regular maintenance and changes for tour components in operations systems.
  • Responsible for troubleshooting and problem resolution of issues that arise in the tour build.
  • Organizes regular meetings to establish operational consistency of vendor services with established tour itinerary and identifies key operational needs as well as tour deviations.
  • Collaborates with territory team on vendor challenges to retain tour excellence standards.
  • Collaborates with multiple company departments to ensure tour components are accurate and consistent throughout all channels, ensuring overall tour integrity for optimal guest satisfaction.
  • Maintain constant communication with buyers, product managers, and product team.
  • Assists in urgent and crisis situations pre-tour departure and on-tour in response to world events and vendor challenges.


Knowledge and Skills:

  • Bachelor’s Degree preferred or equivalent experience.
  • One to three years’ experience.
  • Experience in supply chain, inventory, scheduling, logistics or working within inventory or ERP systems a plus.
  • Ability to plan, organize and prioritize work in a fast-paced environment efficiently and accurately.
  • High level of initiative and ownership in decision making.
  • Possess a proactive, positive, and professional approach and demeanor to their work.
  • Collaborate well with others and foster a cooperative work environment.
  • Must be flexible to an ever-changing travel industry and educated in current events worldwide.
  • Possess a fiscal understanding of impact to financial position.
  • Ability to effectively create and communicate through all means of communication to all stakeholders.
  • Must possess a high level of technical ability to work within proprietary inventory management/operations systems.
