Job description

We are looking for a detail-oriented Legal Assistant to support environmental enforcement matters for a public-sector legal team. This Long-term Contract position offers a hybrid schedule and consistent hours, with responsibility for helping attorneys manage enforcement actions from initial order review through appeals, settlements, and final order enforcement. The role is well suited to someone who is highly organized, communicates effectively, and can manage legal documentation with accuracy and urgency.
Responsibilities:
• Examine draft enforcement orders to verify facts, confirm proper party information, check service details, and ensure documents are complete and professionally prepared before attorney review.
• Prepare supporting correspondence for issued orders and help coordinate service of process to ensure timely delivery and proper documentation.
• Support attorneys during administrative appeals by organizing filings, preparing hearing notices, proofreading legal documents, and assisting with discovery, depositions, and hearing preparation.
• Communicate with self-represented parties and outside counsel to relay case information, coordinate next steps, and help move matters toward resolution.
• Draft settlement-related documents, including agreed final orders, for attorney review and execution.
• Manage enforcement of final orders by tracking deadlines, preparing demand letters for signature, monitoring responses, and maintaining follow-up activity on each matter.
• Assist with recovery efforts involving civil penalties and damages, including documentation and coordination tied to collections activity.
• Prepare draft warrants, affidavits, and referral memoranda for attorney review, then help obtain signatures and arrange court filing when approved.
• Keep assigned attorneys informed by sharing status updates and maintaining accurate, timely case records and document uploads in the case management database.• Prior experience in a legal support, paralegal, or legal assistant capacity, preferably involving litigation, hearings, or administrative law matters.
• Strong proofreading and document review skills with the ability to identify inconsistencies, missing information, and formatting issues.
• Ability to draft clear correspondence and organize legal materials such as motions, notices, affidavits, and memoranda.
• Comfortable communicating with attorneys, opposing counsel, court personnel, and self-represented individuals in a clear and respectful manner.
• Experience managing multiple cases or deadlines while maintaining accurate records and prompt follow-up.
• Proficiency with office software, electronic filing practices, and database or case management systems.
• Strong organizational skills and attention to detail in handling confidential legal documents and time-sensitive assignments.
