Customer Service Representative

We need you to be responsible for customer satisfaction of assigned account activity ensuring transactions are processed accurately, timely, and within the Vertical Cold Storage established processes and procedures.

Essential Duties and Responsibilities:

  • Act as liaison between the warehouse and the customer. Maintain excellent working relationship with customers by responding to all inquiries, processing orders and handling complaints in a prompt, courteous and effective manner. Report any customer feedback to management including any sign of dissatisfaction.
  • Check drivers in/out and assign door in coordination with dock operation. Notify warehouse of arrival and schedule.
  • Ensure receipts for product are accurately entered in system following Vertical Cold Storage processes and procedures and customer instructions.
  • Finalize receipts to confirm counts match or discrepancy are verified and documented and product is accurately located in system.
  • Validate orders are accurately entered in accordance with Vertical Cold Storage processes and procedures as well as customer instructions and effectively communicated to warehouse staff and all affected personnel.
  • Ensure product is allocated to orders in line with customer's instructions and have been properly processed and shipped from WMS system.
  • Follow Vertical Cold Storage procedures ensuring customer is accurately billed for service in a timely fashion based on Vertical Cold Storage established tariff rates and any negotiated rates in effect for the customer.
  • Resolve problems by clarifying and determining issues, selecting and explaining the best solution to resolve issues, expediting correction or adjustment, and follow up to ensure resolution.
  • Prepare reports by collecting, analyzing, summarizing, and distributing information per customer and/or Vertical Cold Storage procedures.
  • Operate multiple phone line system ensuring expedient and courteous response.
  • Maintain inter and intra-departmental workflow by fostering a spirit of cooperation.
  • Maintain a safe working environment by following safety rules and regulations.
  • Support assigned duties of management to assist in the business of the facility.

Job Qualifications - Education and Experience:

  • High school diploma or its equivalent.
  • 2-3 years customer service or warehouse office experience.
  • Prior warehouse/distribution experience preferred.
  • Strong computer skills in Word, Excel, Outlook.
  • Attention to detail.
  • Problem solving abilities.
  • Excellent communication skills with ability to read and write English.

Physical Requirements:

  • Ability to sit for extended periods of time.
  • Frequently required to bend, twist, use hands to finger, reach with hands and arms.
  • Occasional lifting of up to 20 pounds.
