Job description

Job Summary:
Haven Specialty Home Care is seeking a professional Office Manager to serve as a vital team leader. In this role, you will work closely with the Administrator/Director of Nursing to manage the agency and coordinate all facets of operations, ensuring strict compliance with local, state, and federal regulations.

Key Responsibilities:

  • Operational Leadership: Organize and direct ongoing agency functions in coordination with the Administrator/Director of Nursing.
  • Compliance & Records: Ensure full compliance with federal, state, and local laws. Maintain accurate personnel, administrative, and electronic medical records (EMR). Maintain strict confidentiality and adhere to all agency policies, including the HIPAA privacy rule.
  • Clinical & Staff Support: Coordinate staffing needs for each patient case according to physician orders and plans of care. Maintain patient physician orders, add/update patients in the EMR system, follow up with doctors for signatures, and keep a current patient roster.
  • Human Resources & Training: Support the HR department with collecting and submitting required items, and ensure all employees remain up to date with mandated training.
  • Office Administration: Manage receptionist duties, including answering phones, screening/routing calls, taking messages, and greeting visitors professionally. Coordinate intra-office communication (emails, memos, faxes, meeting schedules), and handle typing, copying, filing, and mailing.
  • Inventory & Facility Maintenance: Perform inventory checks, monitor usage, and communicate ordering needs to maintain adequate office supplies. Maintain a clean, organized work environment.
  • Communication & Collaboration: Maintain frequent and effective communication with inter-office personnel, field staff, and the administration. Attend scheduled meetings and assist with the maintenance of the agency complaint log.
  • General Duties: Perform company-related errands as required, adhere to the neat/clean dress code, and complete other delegated duties as assigned.

Qualifications:

  • Education: High school graduate required.
  • Experience: One year of experience in a healthcare-related field is preferred. Supervisory experience is preferred.
  • Skills: Strong computer literacy/skills are required. Excellent verbal and written English communication skills are necessary. Google Workspace, Scheduling experience preferred.
  • Transportation: Must have reliable transportation.

Pay Rate:

    • $20 - $23 per hour depending on experience. $23 being the top end for expert level Office Managers with DOL White Card benefit experience.

Company Description

Haven Specialty Home Care provides services to former energy workers that are eligible for care under the EEOICPA. These services include Skilled Nursing Care, Case Management and Aide Care.

What is the EEOICPA?

The EEOICPA (Energy Employees Occupational Illness Compensation Program Act) under the United States Department of Labor has a free (to eligible energy workers) program to completely cover the medical costs of energy workers such as uranium miners, millers, and haulers or beryllium workers from the Cold War era.

This program also provides monetary compensation for damages suffered. Illnesses include, but are not limited to radiation-induced cancers and beryllium-related illness.
