Job Summary

CNA has a dynamic opportunity for an experienced Administrative Assistant II to join our team in New York City (1166 6th Ave, New York, NY 10036).

This position provides executive-level administrative and operational support to the SVP, Management Liability; SVP, Cyber E&O & Affinity Programs; and SVP, Financial Institutions & Financial Lines Wholesale. Responsibilities include managing complex calendars, travel, and expenses; coordinating meetings and events; preparing presentations and reports; supporting onboarding and office operations; and serving as a trusted liaison across business partners while maintaining the highest level of confidentiality and professionalism.

The successful candidate brings exceptional organizational, communication, and relationship-management skills, along with advanced proficiency in Microsoft Office applications, particularly Outlook, Excel, PowerPoint, and Word. Experience leveraging AI-enabled tools such as Copilot and analytics platforms such as Microsoft's Power BI is preferred. Financial services experience is advantageous, as is the ability to adapt and perform effectively in a fast-paced, evolving environment.

The target compensation for this position in New York City is $87,000 + - based on experience.

Essential Duties and Responsibilities

  • Provide proactive administrative, operational, and business support to senior leaders, enabling focus on strategic priorities and business objectives.

  • Manage complex calendars, meeting logistics, travel arrangements, and expense reporting while anticipating conflicts and resolving issues independently.

  • Draft, prepare, and distribute correspondence, reports, presentations, meeting materials, and other business documents using Microsoft Office and related technologies.

  • Support business unit administration activities, including internal and external communications, team meetings, industry conferences, onboarding activities, and organizational initiatives.

  • Maintain business information, records, databases, SharePoint sites, and other systems with strong attention to organization, accuracy, and version control.

  • Gather, analyze, and summarize data to prepare reports, presentations, and business insights for leadership decision-making.

  • Coordinate broker, agency, and business partner activities, including maintaining information in Power BI and other internal systems.

  • Serve as a trusted point of contact for leaders, colleagues, and external partners by providing responsive, professional customer service and administrative support.

  • Conduct research, compile information, and prepare recommendations or summaries on assigned topics.

  • Support special projects and ensure deliverables are completed accurately, on time, and aligned with business objectives.

  • Coordinate meetings, events, team activities, and travel logistics, and may record meeting notes and action items as needed.

  • Assist with operational processes, including invoices, accounts payable activities, payroll/timekeeping support, facilities coordination, vendor management, and other administrative functions.

  • Handle highly sensitive and confidential information with discretion, professionalism, and sound judgment.

  • Collaborate effectively across a matrix organization and provide backup support to other administrative professionals as needed.

Education and Experience

  • College degree or coursework in Business, Accounting, Marketing, or a related field preferred.

  • Typically, 4+ years of administrative experience, preferably supporting senior leaders or teams in a corporate, professional services, or insurance environment. Insurance industry experience is strongly preferred.

  • Experience supporting business operations, executive administration, reporting, and project coordination preferred.
