Role Summary:

The Lab Technician/Medical Office Administrator is a split administrative and laboratory clinical support role supporting both front-desk/clinical operations and basic laboratory workflows. 


Role & Responsibilities: 

Medical Office Administrator Duties

    • Consult with physicians as needed regarding scheduling and booking appointments. 
    • Maintain up-to-date patient records in the EMR system (Oscar), including scanning and organizing test results and other documents.
    • Handle administrative tasks such as sending/receiving faxes, making photocopies, scanning documents, and accepting deliveries.
    • Administer patient billing, collect overdue payments, and issue receipts.
    • Ensure confidentiality of all patient information in accordance with regulatory standards
    • Perform other duties as assigned.


Laboratory Support Duties

    • Collect blood samples from patients.
    • Process the sample using a Laboratory machine as dictated by the guidelines.
    • Practice proper patient identification, labeling vials properly.
    • Determine the best method for drawing blood depending on the specific patient.
    • Keep accurate records on fluid specimens and tests.
    • Collect and organize information and documents as required.
    • Receive training and perform Andrology tasks (Semen analysis, sperm wash, etc.).
    • Keep the phlebotomy cart and station well-organized at all times.
    • Practice infection control standards while working with patients and equipment at all times.
    • Other duties, as assigned.


Required Qualifications:


Formal Education or Equivalent

  • Diploma in Medical Laboratory Technician or equivalent. 
  • Associate’s Degree in Medical Office Administration, or a Bachelor’s Degree in Healthcare Management or another relevant field is an asset.
  • Additional vocational training or certification in a medical field is preferred
  • Current registration with Medical Laboratory Professionals Association of Ontario (MLPAO)


Experience

  • Minimum 1 year of Laboratory experience specific to phlebotomy techniques.
  • Minimum 3 years experience as a Medical Office Administrator preferred.


Competencies

    • Familiarity with medical terminology specific to fertility care
    • Keen attention to detail when recording patient information, managing medical records, and processing billing
    • Excellent verbal and written communication skills and strong interpersonal skills
    • Strong customer service orientation to ensure a compassionate patient experience.
    • Organizational skills to prioritize and plan work, multi-task, and meet schedules
    • Adaptable and flexible; able to think quickly in stressful situations. 
    • Knowledge of and adherence to patient privacy regulations (e.g., HIPAA) and ethical guidelines.
    • Experience with effective puncture techniques
    • Understanding of proper patient identification methods
    • Knowledge of legal requirements about drawing blood, handling fluid samples, and use of relevant medical equipment and materials
