Role Overview
The Tax Operations Associate plays a critical role in supporting the tax team by managing the operational workflow, assembly, and delivery of tax returns. This position focuses on process execution, system management, quality control, and coordination to ensure tax returns are prepared efficiently, accurately, and delivered on time.
The ideal candidate will have hands-on experience with the Thompson Reuters suite of tax products and thrives in a detailed-oriented, deadline-driven environment where operational excellence supports exceptional client service.
Responsibilities
Tax Return Assembly & Delivery
  • Assemble, organize, and finalize federal, state, and local tax returns for individuals, businesses, and trusts.
  • Prepare returns for review, e-file, and delivery in accordance with firm standards.
  • Manage e-filing processes, acknowledgements, and follow-up on rejections or corrections.

Tax Operations & Workflow Support
  • Support the tax team throughout the full tax return lifecycle, from data intake to final delivery.
  • Monitor workflows and deadlines to ensure timely completion of returns.
  • Maintain checklists and standardized procedures for tax production.

Systems & Technology
  • Utilize and support the Thomson Reuters tax software suite, including UltraTax CS, Practice CS, Onvio, or similar software.
  • Assist with document management, file organization, and system data integrity.
  • Troubleshoot basic system or workflow issues and escalate when needed.

Quality Control & Compliance
  • Performance completeness and accuracy checks prior to review and filing.
  • Ensure returns meet internal quality standards and regulatory requirements.
  • Maintain organized workpapers and supporting documentation.

Client Support & Internal Coordination
  • Coordinate with tax professionals to gather missing information or resolve open items.
  • Support secure delivery of tax returns to clients via portal or approved delivery methods.
  • Assist with responding to client and internal operational inquiries related to tax filings.

Necessary Skills & Abilities
  • Strong understanding of tax return assembly and filing processes.
  • High attention to detail and strong organizational skills.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Proficient with Microsoft Office and document management systems.
  • Familiar with tax workflow tools, portals, and e-signature processes.

Minimum Qualifications
  • High school diploma or equivalent
  • 2+ years of experience in tax operations, tax administration, or tax support roles
  • Direct experience using Thomson Reuters tax software suite
  • Authorization to work in the United States on a permanent basis

Preferred Qualifications
  • Bachelor's degree from an accredited college or university in finance, accounting, business, or another closely related field
  • Experience supporting multiple tax entities (1040, 1065, 1120, 1041)
  • Experience in a CPA firm or professional services environment
  • Experience using tax workflow tools, portals, and e-signature processes

Working Environment & Physical Demands
While performing the duties of this job, the employee is in an office environment. The noise level in the work environment is typically quiet to moderate. Client and internal company information is highly confidential.
The essential functions of the Tax Operations Associate role will require the employee to be able to communicate verbally with others. The employee will often be required to sit for extended periods of time and use a computer and other office equipment. The employee will occasionally be required to stand, move, reach, and lift up to 10 lbs.
