This person will guide clients through complex account opening processes with care and precision, while nurturing strong relationships through consistent communication, reliability, and a hightouch service approach. This role requires someone not afraid to pivot between responsibilities without losing accuracy and momentum and maintaining a positive client experience. ย 

What Success Looks Like in This Role

  • Provide front-to-back operational support for complex account openings, ensuring the client is successfully onboarded, documentation is complete and accurate, technical issues are resolved, and questions are answered promptly. ย 

  • Become a trusted point of contact and deliver exceptional client experiencesย by managing a high volume of communications and service requests with speed and precision.

  • Support financial advisorsย by preparing client review materials and maintaining account documentation.

  • Own operational excellenceย by mastering CRM tools and proactively resolving client service issues in a dynamic environment.

  • Demonstrate initiative by actively learning, asking thoughtful questions, and seeking out ways to improve processes and client outcomes.

  • Multitask effectivelyย while maintaining accuracy and the ability to step back and see the big picture.

Your First Year at Pinion Wealth

  • Within 30 days: Learn Pinion Wealthโ€™s systems, tools, and client service standards.
  • Within 90 days: Independently manage client interactions, client communications, and meeting prep in a high-volume setting.
  • Within 6 months: Lead client service tasks with minimal supervision and contribute to client meetings.
  • Within 12 months: Continue refining administrative expertise and take ownership of key operational processes.

What You Bring to the Table

  • 3+ years of operations experience in wealth management and/or executive-level administrative experience
  • Strong organizational, communication, and relationship-building skills, with a proactive mindset.
  • Comfort with technology and CRM systems; proficiency in Microsoft Office Suite.
  • High attention to detail, confidentiality, and follow-through.
  • Ability to thrive in a fast-paced, high-volume environment while maintaining quality and professionalism.
  • A natural curiosity and drive to learn, ask questions, and grow.
  • Ability to multitask with accuracy while keeping the broader client and business goals in view.

Bonus Skills (Not Required, but Valued)

  • Notary Public certification or willingness to obtain.
  • Series 7 and 65 licenses
