Job description

Position Overview

The Client Service Associate (CSA) plays a critical role in delivering an exceptional experience to our clients while ensuring smooth daily operations. You will serve as the primary administrative bridge between our clients, our advisors, and the Raymond James back-office platform.

This role requires strong organization, clear communication, discreet handling of confidential information, and the ability to manage multiple operational workflows in a fast-paced, collaborative environment.

Key Responsibilities

1. Client Service & Communication

  • Deliver high-touch, prompt service to existing and prospective clients via phone, email, video conference, and in-person greetings.
  • Manage advisor calendars, schedule appointments, and coordinate client review meetings.
  • Help clients navigate online client portal access, digital onboarding tools, and e-signatures.
  • Facilitate client hospitality and assist in organizing client appreciation events and educational workshops.

2. Account Administration & Operational Support

  • Open new accounts (individual, joint, trust, corporate, retirement) and ensure all required documentation meets Raymond James compliance standards.
  • Process day-to-day cashiering and money movement requests, including wires, ACH transfers, check deposits, journal transfers, and required minimum distributions (RMDs).
  • Coordinate asset transfers (ACATs, rollovers, direct rollovers) and track transfers through to completion.
  • Prepare meeting agendas, review packets, portfolio summary reports, and account paperwork ahead of advisor-client meetings.

3. Practice Management & Recordkeeping

  • Maintain up-to-date and organized client records within the Client Relationship Management (CRM) system.
  • Track pending operational tasks, follow up proactively on outstanding documentation, and resolve operational discrepancies.
  • Maintain branch files, correspondence logs, and compliance records in adherence to FINRA, SEC, and Raymond James regulatory policies.
  • Assist in general branch office administrative duties, supplies ordering, and vendor coordination.

Qualifications & Skills

Required:

  • Education: High school diploma or equivalent required. Bachelor’s or Associate degree in Business, Finance, Communications, or a related field preferred.
  • Experience: 3-5+ years of professional administrative, banking, or client service experience (wealth management or financial services experience preferred although not a requirement).
  • Technical Proficiency: Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience using CRM databases.
  • Communication: Exceptional verbal and written communication skills with a polished, professional demeanor.
  • Attention to Detail: Meticulous accuracy when handling documentation, numeric data, and legal/financial forms.
  • Proactive Problem Solving: Ability to prioritize multiple incoming requests, manage deadlines, and follow through independently.
  • Other: Must be able to pass a background check verification.
